Job Description:

Summary

The District Human Resources Specialist is responsible for interacting with administrators, certified and support staff, substitutes, and payroll staff to ensure accurate record keeping, reporting, and accuracy for onboarding, benefits, and attendance. 

  • Individuals must have solid clerical skills and superior organization.
  • Works with the district administrative team to handle reporting, designated assignments, and general workload tasks.
  • Must show professionalism, integrity, and a strong work ethic.
  • Must be able to work with minimal direct supervision.

Wide range of responsibilities and duties, including (but not limited to):

  • Employee Leave Coordinator
  • District Substitute Coordinator
  • Oversight of District ProCard (credit cards)System
  • New hire processing and orientation for support personnel and substitutes
  • Workmans' Compensation Coordinator
  • FMLA
  • Sick leave bank management and reporting
  • District inventory collection and reporting
  • General supply orders
  • other duties as required

Qualifications:

1. Experience as an office clerk/receptionist.

2. Demonstrated communication skills.

3. Demonstrated typing and filing skills.

4. Experience using various computers and computer programs (Google Docs, Excel, Word, OCAS)

5. Desire to continue career improvement.

6. Ability to learn and implement programs 

7. Demonstrated ability to multitask and work with minimal supervision.

Essential Functions:

Knowledge, Skills, and Abilities

a. Provide office and clerical support to assist with the efficient operation of the school district.

b. Comply with all district policies, rules, and regulations.

c. Communicate effectively with all members of the school district and community.

d. React to change productively and handle other tasks as assigned.

e. Appropriately operate all equipment as required.

f. Support the value of an education.

g. Support the philosophy and mission of Sand Springs Public Schools.

h. Support employees with policies and regulations regarding employee leave, FMLA, Workman's Comp, Employee

Assistance Issues and Concerns)

Physical Requirements/Environmental Conditions:

a. Requires the ability to sit and/or stand for prolonged periods.

b. Requires the ability to physically and manually move, lift, carry, pull, or push heavy objects or materials.

c. Requires the ability to stoop, bend and reach.

d. Must be able to work in noisy and crowded environments.

e. Requires regular attendance and/or physical presence at the job.

General Responsibilities:

1. Screen visitors and telephone calls, directing them to the appropriate person/department.

2. Screen and route incoming mail, memos, and bulletins.

3. Copy correspondence, reports, bulletins, records, and other materials as needed.

4. Obtain, gather, and organize pertinent data as needed.

5. Occasionally assist employees, visitors, and staff at the front desk. 

6. Maintain an orderly filing system.

7. Occasionally assist the attendance clerk by accepting and logging in absences

8. Other duties as assigned 

OTHER REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS & ABILITIES:

  • Highly ethical professional with strong business acumen
  • Ability to be exacting, thorough, and attentive to detail while still meeting deadlines
  • Understanding the importance of being process-oriented
  • Ability to quickly and appropriately respond to external Auditor inquiries
  • Strong teamwork and communication skills
  • Strong working knowledge of Microsoft Office Excel, Outlook, Word, Google, Windows 7; Wen-Gage system
  • Ability to pass a required background check.

Working Conditions:

Primarily in an office environment with fluorescent lighting.

The noise level is usually low to medium.
