DATA MANAGER


NATURE OF WORK

The employee performs a variety of complex technical and computer support functions for the student information system. Work at this level requires a substantial knowledge of student accounting procedures and regulations, source data, and the functionality of the student information system in order to support school operations and to generate federal, state, and local electronic files effectively. Work includes complex scheduling, including individual classes and preparing individual schedules. The employee must communicate with a wide variety of groups including students, teachers, principals, counselors, central office staff, parents, governmental agencies, institutions of higher education, and other school staff involved in the use of data entry, reporting, and analysis to ensure accurate data management including student information systems data, enrollment/withdrawals, scheduling, course grades, state assessment scores, CRDC, Graduation, Gradebooks, IAM, student report cards, and historical records.. The employee works under general supervision where goals are provided, and the employee determines the procedures to accomplish them.

ILLUSTRATIVE EXAMPLES OF WORK

  • Prepares and/or maintains computer records of student attendance; enters data from submitted forms; reviews late-arrival forms, and reconciles with absences to create “tardy” lists; reviews check-out forms and reconciles with absences to create “early leave” lists
  • Prepares attendance reports and reconciles manual and computer reports monthly
  • Maintains computer records of students’ scores on state mandated tests and standardized tests
  • Maintains, generates, and distributes student demographic, scheduling, and grading information
  • Maintains records of student suspensions, student withdrawal from school, record of reasons for student withdrawal and students’ plans and prepares periodic statistical reports
  • Coordinates user security within the student information system with district personnel
  • Attends conferences and classes to develop and maintain knowledge of database management and the student information system
  • Accesses the Internet to download student information software and upload files
  • Interfaces with a teacher electronic grade book where applicable
  • Configures and maintains auto dialers that interface with student information system
  • Enters and manages student data in the Student Information System, including enrollments, withdrawals, electronic cumulative records, student/teacher/room schedules, transcripts, report cards, test scores, immunizations, demographics, parent and emergency contact information.
  • Works with the Principal to ensure communication to parents concerning student absences and tardiness, including attendance letters per school district procedures.
  • Employs the SIS to generate reports to satisfy deadline-driven requirements of the school, administrators, local and state government, law enforcement and health agencies, as well as the North Carolina Department of Public Instruction.
  • Report any functionality issues to the Student Information System Coordinator/Director
  • Collects data for, and prints, marking period report cards including determining student’s eligible for honor roll.
  • Manages student paper/electronic cumulative records according to federal (FERPA), state and district policies and procedures; including requesting records for new students upon enrollment and coordinating the transfer of the paper/electronic cumulative records for exiting students.
  • Creates and enters staff into the Student Information System, managing staff access security rights via groups and roles, including other statewide systems and local initiatives.
  • Creates, distributes, and troubleshoots student and parent account access credentials for the student and parent portal.
  • Manages the master schedule and individual student scheduling throughout the year, which includes assisting administrators in determining needs and identifying solutions when a student is less than 100% scheduled

ADDITIONAL RESPONSIBILITIES FOR DATA MANAGERS WHO SERVE SCHOOLS WITH GRADES 9-12

  • Handles any transcript requests for current or previous students including graduates.
  • Works with the counseling department to ensure that student transcripts are accurate.
  • Prepares/maintains records of student Career Pathways
  • Collaborates with community colleges on enrollments and grades for students participating in the College and Career Promise (CCP) Program.
  • Maintains data for academic and attendance to support the North Carolina State Automated Driver’s License (NC SADLS) program
  • Maintains records of student progression towards Graduation Requirements and audits course enrollments to verify prerequisite requirements have been met
  • Calculates GPA, class rank, and transcript endorsements (NC Scholar, Global Language, Honor Society etc.)
  • Prepares and/or maintains information for preparing the vocational report/electronic files

KNOWLEDGE, SKILLS, AND ABILITIES

  • Administrative skills to interpret county and state policies governing enrollment/withdrawal, attendance, immunizations, and health records, as well as student accountability per the NCDPI Student Attendance and School Accounting Manual.
  • Software/database/spreadsheet/word processing skills for data entry, reporting, word processing, desktop publishing, spreadsheets, and Student Information System program.
  • Communication skills to communicate with school personnel, students, parents, and outside agencies.
  • Uses discretion to structure tasks to meet expectations and prioritizes to meet deadlines.
  • Keeps information confidential.
  • Needs limited supervision and is able to work independently and as a part of a team.
  • Uses initiative in carrying out recurring assignments independently without specific instructions.
  • Able to make decisions and solve problems with school data and information provided.

EDUCATION AND EXPERIENCE

  • High school diploma required; Associates Degree preferred
  • Clerical experience including two years of experience with Student Information System preferred
  • Strong written and verbal communication skills
  • Specific skills in typing, computer skills (Excel) and operation of business machines are required
  • Bilingual is preferred
