    Purpose Statement:
    The job of Coordinator Assistant is done for the purpose of providing secretarial support to CKCIE coordinators; maintaining records; compiling and distributing a wide variety of materials and reports; assisting with the employment of classified staff members; and monitoring a variety of department activities.
    Essential Functions
    • Compiles information from a variety of sources for the purpose of managing the employment of CKCIE classified staff members. Gathers information for the coordinators upon request.
    • Composes documents (e.g. letters, minutes, bulletins, reports, etc.) for the purpose of documenting events, providing and/or requesting information.
    • Coordinates employment process for CKCIE classified staff (e.g. posting openings, scheduling interviews, transmitting offers, orientation, etc.) for the purpose of complying with all school system, state and federal regulations.
    • Maintains a variety of documents, files and records of a confidential and non-confidential nature for the purpose of providing up-to-date reference and audit trail in compliance with all district and state regulations.
    • Monitors assigned department/program activities for the purpose of ensuring completion in compliance with established financial, legal and/or administrative requirements.
    • Prepares a variety of reports and related documents (e.g. correspondence, individual contracts, announcements of job openings, Board items for personnel, lists of employees, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
    • Processes documents and materials for the purpose of disseminating information to appropriate parties.
    • Responds to inquiries from a variety of internal and external parties (e.g. staff, employment requests, surveys, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
    • Supports administrative personnel for the purpose of providing assistance with their administrative functions.
    • Performs general and program-specific clerical functions (e.g. data keying, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or department with necessary materials.
    Other Functions
    • Assists other personnel for the purpose of supporting them in the completion of their work activities.
    Job Requirements: Minimum Qualifications
    Skills, Knowledge and Abilities
    SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; and preparing and maintaining accurate records.
    KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: personnel policies and procedures; office application software; and concepts of grammar and punctuation
    ABILITY is required to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize job-related equipment. In working with others, problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; working as part of a team; and working with constant interruptions.
    Responsibility
    Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and operating within a defined budget. Utilization of resources from other work units may be required to perform the job's functions. There is a continual opportunity to have some impact on the Organization’s services.
    Working Environment
    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
    Experience - Job related experience with increasing levels of responsibility is required. Preferred candidates will have experience as an administrative assistant and posess high level proficiency with Microsoft and Google software.
