Your Role With Us:

The Anesthesia Operations Specialist II provides confidential administrative support, schedule coordination and project management support to the Anesthesia Service. The Operations Specialist collaborates with the administrative team to assist them in carrying out duties and responsibilities for the program. The Operations Specialist develops and maintains analysis for staffing data, builds and maintains the provider schedule and assists with other administrative tasks in support of the program. This position requires a high degree of customer service, attention to detail and strong organizational skills.

Core Functions:

  • Plans strategically, builds and maintains the provider schedule for SH and WV. Including PTO planning, back up allocation and interacting with locum company representation for scheduling coordination.
  • Works independently with parties inside and outside the department to organize and plan committee meetings, projects, and events. Coordinates other meetings of hospital committees, work groups, task forces and meetings involving consultants with hospital staff as directed by the Medical Director and/or administrative leadership. Manages and processes correspondence. Coordinates special projects as needed and directed.
  • Assists with data collection and presentation for Program and strategy boards.
  • Preparation of reports and presentations using Word, Excel, Power Point, and Visio. Composes and or drafts a variety of documents, spreadsheets, and organization charts. Create and maintain hospitalist manuals.
  • Locum invoice preparation for management approval. Coordinates the flow of documents which may include confidential pay and performance information.
  • Manages daily tasks and coordinates special projects as determined by the Medical Director and/or Practice Manager. Assists other office staff and works in cooperation with their efforts to ensure overall efficiency. Coordinates travel, reimbursement requests and reservations.

Background/Expertise:

  • High School Diploma or equivalent required. Bachelor’s degree is preferred.
  • Two (2) years clerical work in a medical environment required.
  • Minimum of two (2) years’ experience in increasingly responsible administrative assistant positions preferred.
  • Two (2) years of either the above combined.
  • Proficient in Microsoft Office Suite.
  • Experience with surgical scheduling or in a surgical setting preferred.
  • Maintains consistency and accuracy under pressure.
  • Must have the ability to hold in confidence any information regarding patients, personnel, or any other matters which are confidential in nature.
  • Must have strong interpersonal and customer service skills.
  • Ability to handle multiple priorities and concerns easily while working in a busy, multidisciplinary setting.
  • Requires self-direction and the ability to exercise judgment in prioritization, accuracy, and promptness in completion of projects.
  • Uses interpersonal skills which convey a positive and supportive attitude (e.g., active listening, good communication, telephone etiquette).
  • Manages dependability with sound judgment in consideration of providing excellence in patient care and teamwork:
    • Can be relied upon to carry out the job duties
    • Regularly attends work and arrives and leaves as scheduled
    • Unplanned absence is reported in accordance with policy and planned absences are scheduled in advance and in consideration of department schedules

  • Routinely goes out of the way to assist and be respectful of others (i.e., patients, visitors, employees, Medical Staff).
  • Uses hospital/department resources appropriately (i.e., makes cost-conscious decisions in the use of department resources, supplies, and equipment).
  • Works productively from beginning to end of shift, consistent with department policy.
  • Uses downtime at work appropriately (e.g., participates in professional enhancement activities; assists in special projects and in maintaining department).
  • Supports and initiates changes, innovations and improvements in the workplace.
