Program Coordinator, Scholars and Fellowships - 500807
SUMMARY:
The Program Coordinator provides operational support to the Richmond Scholars Program and fellowship initiatives at the University of Richmond. The Coordinator takes the lead on marketing and recruitment, event planning, and administrative support for the office. This role interacts with staff, outside vendors, current and prospective students, and faculty.
RESPONSIBILITIES:
Event Planning
  • Coordinates scheduling and details for Richmond Scholars programming, including retreats, trips, and campus events.
  • Working closely with the Office of Admission, coordinates scheduling and details for Richmond Scholars selection events, including interviews and Snapshot overnight recruitment visit.
  • Coordinates scheduling and details for major Fellowship events, such as end of year recognition reception, and Fulbright launch.
  • Coordinates scheduling and promotion of all fellowship info sessions.
Marketing, Publicity, Recruiting, Web Presence
  • Maintains and creates content for all Richmond Scholar and Fellowships webpages.
  • Designs promotional materials for fellowship opportunities, including brochures, d-fliers, posters, etc.
  • Leads recruitment for fellowship opportunities, driving students to info sessions, advising appointments, and workshops.
  • Creates and oversees brand awareness for Richmond Scholars program, including photo composites, promotional materials/gifts, etc.
  • Designs all printed materials for major RS and fellowship events.
  • Creates and oversees monthly email newsletters for RS and Fellowships.
  • Designs all materials and communications for RS recruiting and yield events.
Administrative Support
  • Serves as first line of communication for email, phone, and in-person office inquiries.
  • Coordinates scheduling for fellowship selection committees, including Fulbright campus panel evaluations; these panels may be geographically or discipline-specific and involve multiple faculty and staff.
  • Supports Richmond Scholar selection efforts including assignment of interviewers and readers in Slate, tracking applicant scoring, managing Snapshot registration in Slate, and assisting Assistant Director with tasks related to Richmond Scholar Ambassadors.
  • Implements disbursement of enrichment grants and post-grant report/receipt tracking.
  • Coordinates surveys for both program planning and assessment.
  • Maintains current tracking reports for fellowship recruits, Richmond Scholars, and Presidential Scholars.
  • Processes fellowship applications, ensuring completeness, providing confirmations to applicants and recommenders, sending thank you notes to faculty participants, and tracking student waivers for large volume fellowship programs.
  • Reconciles monthly office purchases and budgets.
  • Creates and maintains Slate events for fellowship info sessions and Richmond Scholars programming.
Other Duties as Assigned
  • General support for Office of Scholars & Fellowship and Enrollment Management Initiatives, including office operations such as ordering supplies, scheduling meetings, maintaining physical office space and managing equipment.
  • Facilitate select Fulbright campus committee evaluation panels and draft review forms for endorsement.
QUALIFICATIONS:
  • Proficient in publishing/graphic design programs to create marketing materials (Canva, InDesign, etc.) preferred
  • Demonstrated ability to learn new software (Mailchimp, Slate, Cascade, etc.) quickly
  • Strong grasp of higher education environment
  • Understanding of basic marketing and design strategies
  • Demonstrated attention to detail is required
  • Must be dependable and reliable due to sensitive timelines involved in most initiatives and events
  • Demonstrate a high level of professionalism at all times
  • Strong organizational and time management skills are required
  • Must be thorough and able to follow established processes; listens and checks before acting
  • Strong interpersonal skills are required, including the ability to present information to individuals and groups when necessary
  • Strong event planning and coordination skills are required
  • Must be able to maintain strict confidentiality in handling sensitive information
EDUCATION & EXPERIENCE:
  • Bachelor's degree is required
  • 2 - 3 years' experience in marketing, event planning, or program support preferred
  • Publicity, promotion, and design experiences preferred
WORK HOURS:
  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
SALARY STRUCTURE:
Pay Grade 4 (Hiring Range $17.70 to $22.12 per hour)
