Job Description
Reporting to the Executive Director of Graduate Admissions and Recruitment, the Graduate Admissions Coordinator provides student-centered customer service expeditiously and accurately processing student application materials. This position serves an integral role on the Graduate Admissions team to ensure the graduate enrollment goals are met and exceeded.
Supervisory Responsibility: This position has no direct reports but may supervise the work of student workers or serve in a leadership role on committees or projects.
Duties & Responsibilities
Primary Duties:
  • *Assists with a high volume of customer inquiries and issues via phone, e-mail, Ivy Chat and walk in traffic.
  • *Serves as the primary contact for questions related to the application process and associated materials for both campus administrative offices (Office of Registrar, faculty/ staff from assigned Colleges/Schools, etc.) and prospective students and applicants.
  • *Remains current on University programs and offerings and Graduate Admissions policies to ensure accurate and up to date information is being provided to prospective students and other members of the community.
  • *Utilizes Slate CRM system and Colleague Student Information System to enter inquiries and admissions data to track students through the prospective, application and enrollment processes.
  • *Processes application-related materials and corresponding student records in Slate and Colleague in a time-sensitive manner with accuracy and a strong attention to detail, and facilitates the timely completion of graduate applications.
  • *Verifies electronic application records and related materials within the application management and Student Information Systems.
  • *Performs cyclical tasks related to operations at designated times of the semester, as well as other initiatives necessary to maintain the integrity of application and student related records.
  • *Shares responsibility for opening and sorting the daily mail, management of admissions credentials, retrieving and processing electronic documents and test scores from third party agencies (e.g. GRE, TOEFL, WES),
  • *Assists with providing exemplary customer service, streamlining processes and utilizing technology to improve the efficiency and effectiveness in the Office of Graduate Admissions.
  • *Proactively identifies customer service issues and communicates those issues and potential solutions to supervisor.
  • When needed, represent the office at off campus and virtual graduate fairs
  • *Utilizes a variety of software programs including but not limited to Colleague, Slate, Outlook, Word, Excel, Zoom and other related programs.
  • *Assists at Open Houses, Accepted Student Days and other department-wide initiatives.
  • Performs other duties as assigned.
Qualification Standards
  • CRM and SIS in Slate and Colleague
  • Minimum two years of customer service experience, preferably using office software such as MS words, MS excel or Google office suite.
  • Familiar with programs such as Adobe and Canva
  • Experience in a higher education setting, preferably in admissions.
  • Working with graduate, international, non-traditional, adult, and/or online population.
  • Fluency in a language other than English
Education
  • Graduation from an accredited college with a Bachelor’s degree.
  • Strong organizational skills, with an attention to detail and ability to process critical information in a timely manner.
  • Strong interpersonal and communication skills to support student-centered customer service.
  • Availability to occasionally work outside of normal hours, evenings and/or weekends in the performance of assigned responsibilities.
  • Ability to travel when needed (minimal and within state). Valid driver’s license required.

5. *Ability to provide high-quality, strong customer-oriented services, including problem-solving orientation; strong listening skills; expertise in advising and consulting; history of coordinated work effort with extensive follow-through and follow-up; experience identifying customer needs; conflict resolution, and creation of user-friendly communications.
