Dean of Academics
AdministrativeAssistant to the Dean
Full-time (32 hours per week), in-person position (not remote). Schedule adjustable to department needs.

Position Overview
The administrative assistant provides administrative support to ensure efficient operation of the office or department. The role involves handling various tasks and responsibilities such as managing schedules, coordinating meetings, handling correspondence, and performing general clerical duties.
Major Responsibilities
· Managing Correspondence: Handling incoming and outgoing communications, including emails, letters, and phone calls. Prioritizing and responding to inquiries or forwarding them to the appropriate person.
· Scheduling: Managing calendars and scheduling appointments/meetings.
· Document Preparation: Drafting, formatting, and proofreading documents, reports, presentations, and other materials as needed.
· Record-Keeping: Maintaining accurate records and databases, including contact lists, inventory, and office expenses.
· Office Management: Ensuring office supplies are stocked, equipment is maintained, and coordinating maintenance or repairs as necessary.
· Meeting Coordination: Arranging meeting logistics, including preparing agendas, booking meeting rooms, and coordinating catering if required.
· Data Entry: Inputting and updating information into databases, spreadsheets, and other digital systems.
· Filing and Organization: Organizing and maintaining physical and electronic filing systems to ensure easy access to documents and information.
· SupportingProjects:Assisting with special projects or initiatives as assigned, which may involve research, data analysis, or other tasks.
· Client/Customer Interaction: Providing support to clients or customers as needed, including answering inquiries and providing information or assistance.
· Understanding FERPA regulations: Maintaining student confidentiality is a legal requirement.
Qualifications
· Alignment with Nelson University expectations regarding faith, service, and lifestyle.
· High school diploma or equivalent required
· Pass the statement of faith questionnaire
· Microsoft Office and/or Google Suite knowledge
· Working knowledge of Canva
· Strong customer service skills
· External and internal communication proficiency
· Collaboration sills
· Strong organization and prioritization skills
· Intrinsic motivation
· Desire for growth

Working Conditions
· The role is typically based in an office environment, with standard working hours. However, flexibility in hours may be required to accommodate meetings or deadlines.
· Will involve occasional lifting or moving of supplies or equipment.
