Safer Foundation is Hiring a Special Events and Engagement Coordinator Near Chicago, IL

The Safer Foundation is a social service provider to individuals with arrest and conviction records. Through a full range of services, including case management, educational instruction and advocacy, we focus on preparing individuals for the world of work by helping them find and keep productive and meaningful employment.

General Summary:

Special Events and Engagement Coordinator will be responsible for planning, organizing, and managing all aspects of events for the Marketing and Communications Department. This includes overseeing all stages of preparation, site coordination, procurement, audience development, production, volunteers, sponsorship, and post-event evaluation. 

Reporting to the Sr. Director of Marketing and Communications, the Special Events and Engagement Coordinator is a project manager who understands marketing and promotion techniques. This role also provides marketing support to the Marketing and Communications Team as well as supports to the fund development team. 

The Position is properly performed when all essential duties and responsibilities are executed by following the Safer Values.

Essential Duties and Responsibilities:

Stakeholder Interface and Service

Oversees planning, coordination and follow up on fundraising/special events hosted by the organization.

Assists in the preparation of briefings for leadership and VIPs.

Nurtures donors and attendees, maintains donor database (in close coordination with the fund development team) and composes letters of acknowledgment.

Work with Social Media Coordinator to ensure that updates are made to the website and all social media venues regarding fundraisings/special events; ensures content is current.

Assists with communications, public relations, and outreach special/fundraising events, including direct mail, press releases, website updates, social networking, e-mails, and e-mail newsletters.

Assists with other development/special events activities as needed. 

Supporting the Marketing and Communications team with duties.

Planning organization’ special events to meet the metrics of Safer’s strategic goals.

Stakeholder Outreach and Recruitment

Securing event locations and event entertainment with leadership approval

Onsite execution of events , including but not limited to; overseeing registration; devising seating arrangements and staffing plans; engaging and overseeing photographer and other support vendors; identifying audio-visual solutions.

Sponsorship Engagement and Revenue Development - in concert with fund development team, securing event sponsors and coordinating sponsor support and representation at special events. Coordinates corporate partnerships for special events.

Volunteer Management – securing event volunteers and assigning responsibilities and program management.

Assists with cultivation and solicitation meetings with prospects. Works with the Sr. Director of Marketing and Communications and the Sr. Director of Fund Development and Communications to prepare Board Members and Leadership team members to identify, qualify and secure sponsors and partners.

Build and maintain strong relationships with new and existing donors, funders, volunteers, sponsors, advocates, and other critical stakeholders.

Tracking, Document, and Reporting

Developing and adhering to a budget, timeline and checklist;

In conjunction with the Sr. Director of Marketing, assist with preparing and overseeing event budgets; 

Record Keeping - Ensures fund development records for fundraising events are complete, accurate, and up to date. This includes all donations, monetary and in-kind, from individuals, foundations, corporations, and government sources. Produces summaries and reports for fundraising events as well as special events.

Prepares and disseminates written acknowledgements for all donors in a timely manner.

Assists in the coordination of the client-donor database for fundraising events; assists in maintaining all fundraising for special events information in database.

Required Knowledge, Skills and Abilities:

  • Excellent time management and prioritization skills.
  • Some analytical ability is required to gather and summarize data for reports, find solutions to various events and marketing problems, and prioritize work.
  • Experience in event planning or event coordination in a corporate environment
  • Proven track record of creative, successful events
  • Experience working with colleagues in graphic design, sales, marketing, and communications
  • Excellent organizational, communication, negotiating, and multitasking skills
  • Ability to remain calm under pressure and maintain a customer-service mindset
  • Established relationships with vendors
  • Experience in managing budgets and tracking expenses
  • Advanced knowledge of PowerPoint, Acrobat, and Excel

Education and Experience:

  • Bachelor’s degree in hospitality management, public relations , marketing or related experience
  • At least two years’ event planning experience
