Safe Harbor Estate Law is Hiring a Front Desk Administrator & Receptionist Near Saint Paul, MN

Are you a talented multitasker who loves interacting with people? We’re looking for a positive and professional front desk administrator to provide admin support and to be the face of our local business. You’ll welcome visitors, clients, and fellow employees, answer phone calls and emails, schedule meetings, maintain our calendar, and assist us with other operations as needed. The ideal candidate is a great communicator with a strong work ethic who is interested in a meaningful role on a supportive team. Success in this position requires that you display a combination of empathy, experience, and skill. You will play an integral role in creating memorable experiences for clients and everyone else who contacts our firm. Compensation:

$15 - $19 hourly

Responsibilities:
  • Warmly greet clients who enter the office with kindness and compassion. Settle them into the correct conference room, and offer refreshments and snacks.
  • Answer phones, screen and direct incoming calls, and answer nonlegal questions about the firm.
  • Provide a brief clear summary of calls.
  • Perform conflict checks.
  • Elicit potential new client information and accurately record it in our client management system.
  • Maintain lead management spreadsheet.
  • Schedule client and employee meetings, and ensure the calendar is accurate and up to date.
  • Process client payments.
  • Write and send thank you cards, sympathy cards, and other communications via Handwritten.
  • Mail documents, scan, and save to the correct file.
  • Incoming documents are accurately scanned, recorded, routed, and filed.
  • Order office supplies, carry deliveries to the correct location in the office, and unload.
  • Keep the lobby, reception, and meeting room areas neat and clean. Keep office supplies stocked.
  • Keep front sidewalks clear of snow or other debris.
Qualifications:
  • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills
  • Exhibits working knowledge of Microsoft Office and basic computer skills
  • At least one year of receptionist or administrative assistant, experience, or similar preferred
  • Has experience answering telephone calls and troubleshooting stressful situations
  • Available to work in the office Monday - Friday
  • Be reliable, trustworthy, and able to maintain strict confidentiality.
  • Be a positive, high-energy team player who is results-oriented.
  • Must possess an associate's degree or an equivalent level of education.
