The Administrative Specialist is responsible for providing exceptional support for our clients. The job of an Administrative Specialist is a versatile and pivotal role within the firm. It involves client interaction, office support, supply management, and a keen eye for detail. During tax season, this role further extends to assembling tax returns and handling financial transactions while offering essential support to staff and partners.

PRIMARY DUTIES AND RESPONSIBILITIES

• Answer incoming calls, transfer them to the relevant staff, take messages, or direct them to voicemail.

• Run errands, including checking the post office box and making daily bank deposits.

• Handle various office-related tasks, such as delivering or picking up payroll, tax returns, or packages from clients.

• Distribute mail and packages to staff mailboxes.

• Keep all filing up to date, ensuring daily organization and filing tasks are completed.

• Maintain cleanliness and organization in work areas, managing supply boxes for disposal.

• Keep various forms and documents organized.

• Maintain constant communication regarding work status.

• Stay updated on tax return procedure changes.

• Greet visitors and clients with enthusiasm while maintaining a professional image.

• Accurately and professionally answer and direct incoming calls, take messages.

• Schedule conference rooms using Outlook.

• Regularly check office supplies, maintain an inventory, and create supply lists.

• Seek approval from the Office Manager and place orders for general office supplies as needed.

• Type labels, letters, or other documents as required for staff and partners.

• Assemble tax returns during tax season.

• Prepare daily deposits, including entering them into the checkbook and practice management system.

• Conduct write-up and data entry tasks as needed.

• Assist with bank reconciliations.

• Assist staff and partners as required for various administrative tasks.

REQUIREMENTS FOR THE POSITION
• Strong communication skills, both verbal and written.

• Exceptional attention to detail.

• Ability to prioritize tasks and problem-solve.

• Maintain confidentiality.

• Strong organizational skills and the ability to multitask.

• High-level proofreading skills and effective text editing.

• Be a self-starter with a customer-service-oriented attitude.

• Possess a strong working knowledge of the Microsoft Windows environment, including Word, Excel, Outlook, PowerPoint, and Access.

• Exhibit flexibility in handling tasks.

• Demonstrate effective time management skills.

• Comply with administrative tasks and deadlines, such as time entry, appointment responses, goal completion, and performance reviews.
