Rough Rider Center is Hiring an Event Coordinator Near Watford, ND

Position: Event Coordinator

Department: Rough Rider Center

Status: Non-Exempt

Supervisor: Event Manager

Position: Full Time

Pay: DOE (Depending on Experience)

Summary

· This position will assist the Event Manager with event coordination. Responsibilities include but are not limited to scheduling, developing, planning, and implementing meetings and events within the Rough Rider Center and the Watford City Park District. Events may be hosted by the Rough Rider Center, individual clients, or other community entities.

Essential Functions

· Schedules the Rough Rider Center facilities and assists with event planning of the facility.

· Work with RecTrac software including reports, scheduling and other functionalities.

· Provides support with facility booking for the Rough Rider Center.

· Answers telephones, maintains correspondence with other divisions or agencies, administer rentals of the facility.

· Assists with the marketing and promotions of Rough Rider Center events.

· Assists the Event Manager and Event Coordinator with planning, developing, and organizing special events.

· Assists in creation and distribution of promotional materials for scheduled events.

· Assists Events Team with required set-ups and tear downs for various types of events.

· Assists with maintaining files and records of transactions and schedules.

· Supports the Event Coordinator with scheduling and preparation of meetings.

· Provides assistance with follow-up phone calls and emails.

· Provides administrative support, including addressing general inquiries, maintaining department files and records, answering phones, etc.

· Sends out invoices, takes payments, and helps with other aspects of event billing.

· Other responsibilities to support the Events Team as needed.

Requirements

· Strong passion for enhancing the community through event creation.

· Must be able to work evenings and weekends when needed.

· Strong organizational skills and attention to detail, with strong prioritization instincts.

· Excellent interpersonal skills and customer service orientation.

· Must be able to multi-task, juggle many projects simultaneously, work effectively under pressure, and troubleshoot situations effectively.

· Must exhibit excellent flexibility and work well in a collaborative and team environment.

· Must exhibit excellent judgment and problem-solving skills.

· Excellent written and verbal communication skills.

· Ability to ensure clients receive the highest level of service when addressing event inquiries.

· Must be a self-starter with a creative mindset for problem solving.

· Communicate effectively to establish and maintain working relationships with the public and other employees.

· Ability to lift a minimum of 30 pounds.

· Ability to work on feet for long periods of time with limited breaks.

· Current CPR certification or ability to obtain within 3 months.

· Valid driver’s license.

Qualifications

· HS diploma

· Bachelors In related field preferred but not required

· Ability to maintain confidentiality and work with several staff members and departments

· Transportation to and from work

Physical Demands

· Must possess: mobility, strength, and stamina to perform physical work for extended periods of time; to operate a wide variety of cleaning tools and equipment, and to operate a motor vehicle; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone. Work activities may be performed indoors and outdoors and may require frequent walking on uneven or slippery surfaces, standing, sitting, running, conducting exercises, twisting, turning, kneeling, bending, stooping, squatting, crouching, grasping, reaching, making repetitive hand movement, and related physical activities in the performance of daily duties.

Environmental Elements

· Incumbents work in both indoor and outdoor environments with moderate to loud noise levels, wet and slippery conditions, chemicals, mechanical and/or electrical hazards, and hazardous physical substances and fumes. May work in controlled temperature conditions, cold and hot temperatures, or inclement weather conditions.

Working Conditions

· Incumbents may be assigned an irregular work schedule, including weekends, early mornings, evenings, and holidays.
