Summary Description:

The Volunteer Coordinator plans, coordinates and oversees volunteer programs and special projects. This position is responsible for leadership and integration of all volunteer programs into RMHGHV. This position ensures that policies and procedures are followed by volunteers. The Volunteer Coordinator will work closely with the operations team to train volunteers and fulfill necessary duties of the House. Additionally, the Volunteer Coordinator will work closely with the Marketing team to identify new volunteer opportunities and engage new groups of volunteers. The primary responsibility will be to ensure that our volunteers are effectively utilized and engaged in meaningful work that aligns with the organization's goals and objectives allowing us to provide the best possible support to our families.

Knowledge, Skills and Abilities:

  • Excellent verbal and non-verbal communication skills and a strong empathy for people and their needs.
  • Be able to represent the organization in a professional manner.
  • Must be friendly, courteous, comfortable dealing with families going through difficult situations, reliable, able to work independently, a self starter, able to multitask, and take initiative.
  • Computer proficiency, including Google Workspace, and ability to manage the volunteer Database.
  • Ability to effectively and efficiently utilize volunteers for completion of tasks, while maintaining positive relationships.
  • While performing the duties of this job, must be available to work irregular hours, shifts, weekends, and holidays.

Responsibilities and Duties

Volunteer Recruitment and Support:

  • Develop volunteer training materials and sessions to ensure that new volunteers are welcomed appropriately and receive all relevant information and support to ensure their continued participation.
  • Maintain a volunteer recruitment, retention, and recognition plan.
  • Provide orientation and ongoing training and skill development of volunteers to address program needs as they arise.
  • Ensure that the work of the volunteers is supported and that volunteer recognition is organized at least annually (i.e. volunteer appreciation brunch)

Volunteer Scheduling

  • Coordinate volunteer recruitment in the community at large by maintaining a list of tasks across different work areas and departments, identifying which areas need volunteer work the most critically at any given time.
  • Coordinate volunteer recruitment and scheduling to ensure a full complement of Reception & House volunteers for each day shift of operation.
  • Coordinate and schedule Meals that Heal and Meals on the House programs and ensure hosts are properly informed of guidelines and thanked for their participation.
  • Coordinate recruitment and supervise volunteers for events throughout the year.

Volunteer Coordination

  • Identify volunteer tasks within and outside of the House for the betterment of the programs and community we serve.
  • Coordinate Interns schedules and onboarding.
  • Manage and supervise volunteer projects to completion.
  • Respond to and address volunteer questions and concerns.
  • Foster a positive and inclusive volunteer culture, promoting teamwork, communication, and a sense of purpose and fulfillment.
  • Maintain accurate records of volunteer hours, accomplishments, and feedback recognizing and rewarding their contributions and addressing any areas for improvement.

House Program Operations:

  • Support the Operations team by ensuring proper training and scheduling of House Volunteers.
  • Provide instruction and direction to volunteers to ensure that objectives are met.
  • Provide back-up support to the operations team to ensure the ongoing programs of the House.

Program Development

  • Develop, create, schedule, supervise activities in collaboration with Program/Operation Department including but not limited to: Pet Therapy, Meals programs, and activity nights.

Meals that Heal & Meals on the House Programs

  • Outreach to the community to secure volunteers for Meals that Heal and Meals on the House Programs.
  • Coordinate and schedule daily meals for families staying at RMHGHV through the Meals that Heal Program.
  • Coordinate with the marketing team to provide content for social media channels to highlight meal program groups as appropriate.

Community Relations:

  • Build and maintain relationships with community organizations, schools, and businesses to expand volunteer recruitment opportunities.
  • Work with the Events and Volunteer Manager to execute corporate days of service.
  • Provide house tours to volunteer groups/individuals. Share house/volunteer opportunities with outside community groups.
  • Responsible for monitoring and responding to telephone inquiries within 24 business hours.
  • Attend special events and community awareness events outside of the House as needed.

Special Projects

Other specific projects as deemed appropriate by the Senior Leadership Team.
