Position Summary:

Serves as a member of the University Registrar staff in the Division of Academic Affairs. Directly responsible for daily oversight, problem resolution, and enhancement of all processes within the Office of the University Registrar relating to graduation and degree auditing. Responsible for database applications pertaining to student and curricular records. Position is responsible for ensuring the accuracy and integrity of student, advisor, curriculum and degree records. Serves as a liaison to Academic Affairs in the coordination of commencement activities and events.

Primary Duties:
  • Process all graduation applications and graduation documents for the University.
  • Perform degree audits to ensure all students meet program and degree requirements for the conferral of degrees. Communicates directly with departments/programs to resolve issues as appropriate.
  • Provides guidance to departments/programs/divisions and collaborates to develop and update degree audits.
  • Maintain database/advising system (Jenzabar EX) as well as maintenance of academic and data integrity within the system. Manage online degree auditing services as appropriate.
  • Process degree exceptions with appropriate Academic Affairs personnel as necessary.
  • Understand and ensure compliance with Oklahoma State Regents graduation rules, policies and guidelines.
  • Work in collaboration with the Office of Academics and Accountability on data and reports related to graduation or degree completion.
  • Direct all aspects of diploma procurement and release/mailing, include re-issuance.
  • Coordinate and facilitate communication regarding application deadlines and internal office timelines for processing to students and campus stakeholders.
  • Direct Registrar specific reporting and communication processes pertaining to the Commencement event, including Commencement program generation and proofing.
  • Direct and organize University Registrar presence at Countdown to Commencement and University Commencement committee meetings.

Hours: 8:00a.m.-5:00p.m. Mon-Fri. Evenings, weekends, special events as necessary.

Primary Duties continued:
  • Provide support at Commencement ceremonies to faculty, administrators, students and families.
  • Develop and manage the online graduation application and associated processes including troubleshooting and resolving issues and non-compliance with policies and procedures.
  • Provide basic office support to the University Registrar unit which may include answering phones, assisting with walk-in traffic, and office support during peak times including admissions, registration, orientation and commencement activities. Attends meetings and/or serves on university committees as requested or desired. Attends training sessions required/requested by the Unit or University.
  • Additional duties as assigned by the University Registrar and/or Vice President of Enrollment Management
PreferredQualifications:
  • Two (2) or more years of higher education professional experience preferred.
  • Experience with student information system, digital document management (Jenzabar EX) strongly preferred.
  • Microsoft Office (especially Excel and Microsoft Word)
  • Experience with OK State Regents policy and procedures.

Knowledge and Skills:

  • Knowledge of technology and software packages, student information systems.
  • Must have excellent written communication, telephone, and customer service skills.
  • Have excellent personal interaction abilities, problem solving skills, critical thinking skills, and judgment skills.
  • Ability to be flexible, manage multiple tasks and handle change.
Hours: 8:00 a.m. - 5:00 p.m.; M-F; Evenings, weekends, special events as necessary.
