Supervision Exercised: Supervision may be exercised over student workers.
Job Summary
Provide program assistance for the Rock Valley College Traffic Safety Program, other court-related programs, and Community Education Outreach Programs. Essential Duties and Responsibilities include the following. Related duties may be assigned.
Provide exceptional customer service to internal and external constituents.
Primary initial lead with customer service; in-person, phone calls, and emails.
Maintain accurate knowledge of program/college resources in order to respond to questions of both internal and external customers.
Process incoming applications and student information in a timely manner to ensure accurate information exchanges with the courts.
Process completed class information returned from instructors; verify attendance; verify non-attendance; enter course completion/no-shows in the TSP computer system; ensure proper process for extenuating circumstance cases; file documented materials.
Create classes, register students, update student records, and compose /send correspondence to online students.
Compile all necessary classroom materials for distribution to instructors.
Cross-check/verify student data from submissions from multiple sources (student, county, etc.)
Research various sources to verify and complete student information in the TSP computer system.
Provide troubleshooting for students with their online classes.
Liaison between students and Safety Serve for online classes.
Generate and send follow-up letters to non-compliant program applicants.
File, code, and arrange filing of, completed documents as well as purge files in accordance with statutory governmental regulations and/or college guidelines, as well as complete end-of-year file storage and set up for the next calendar year.
Proofread completed documents to check for errors and make corrections.
Process online student completions (i.e. enter information into the TSP computer system), including monthly reconciliation.
Field test TSP computer programs when updates are made to the system.
Operate basic office equipment, and insertion machine, as well as perform minor preventative maintenance on office machines.
Assist with maintaining a supply of application envelopes to be distributed to law enforcement agencies.
Assist with operations in Community and Continuing Education.
Assist with operations in the Center for Learning in Retirement.
Attend meetings as needed/requested.
Regular attendance is expected.
Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted in the course of work.
Must maintain a high level of confidentiality and discretion.
Other duties as assigned.
