The Manager, University Advancement Staff Administration will employ industry best practices focused on assisting UA managers to identify and attract top-level talent, ensure successful onboarding and engagement, and support job performance and retention through targeted learning development and career management programs.
This position is responsible for development of staff in the UA Organization and provides support for UA in collaboration with Human Resources for all UA related policies and procedures. The manager works with the UA management team to identify and drive initiatives to help achieve business strategies and deliver high quality support to the division and the university.
Responsibilities:
  • Live our values, embrace diverse perspectives, and nurture the RIT community to remain a great place to work for all.
  • Maintain a deep understanding of RIT's campaign goals, themes, structure, and plans in order to create an integrated employee engagement strategy that directly supports the business of University Advancement and the needs of the current and future campaigns.
  • Provide leadership and direction for the UA management team, ensuring adherence to quality standards and Key Performance Indicator metrics, deadlines and proper procedures. Develop and revise departmental processes and procedures to support collaboration within University Advancement and provide excellent customer service to the University, etc.
  • Oversee the design and delivery of initiatives, policies, and practices that promote organizational excellence, integrity, community, and productivity.
  • Develop a local, regional, and national network of professional colleagues; attend/participate in professional organization, talent management conferences, workshops, and programs.
  • Work with managers to identify professional development opportunities on a divisional, departmental and individual basis. Build effective plans and rollout strategies to improve performance and retention.
  • Develop, monitor and report on Key Performance Indicators. Benchmark against other universities with similar KPI's. Prepare and present monthly and annual reports on progress and accomplishments along with key messages. Collaborate with and support leadership to implement departmental KPIs and trends to support improvement and establishment of clear performance expectations for staff.
  • Act as liaison for UA AVP and directors to RIT Human Resources to ensure that UA administrative processes and procedures are consistent and aligned with HR policies and procedures. Work closely with RIT Human Resources on the following functionally-led HR initiatives:
    • Develop and maintain an evergreen Competency Model for UA to facilitate ongoing training and development of employees. Identify gaps and development plans for success. Engage Human Resources as appropriate to assess needs, training, identification of key jobs, retention and succession planning strategies, etc.
    • Partner with and support hiring managers in developing job descriptions and postings, screening of applications, candidate interviews, reference checking and selection.
    • In partnership with HR/Talent Acquisition, coordinate department recruiting activities (search committee process, interviewing and selection of staff). Proactively ensure appropriate staffing, department onboarding of staff, submission of appropriate hire paperwork to Human Resources. Work with HR/Talent Acquisition on establishing a leadership pipeline and talent review process that improves the depth and breadth of internal talent and skills across University Advancement.
  • Build the perception and reputation of RIT University Advancement as a leader in the development of talent in the Advancement arena and is an employer of choice for advancement professionals in New York and beyond.
  • Collaborate with the UA Director of Advancement Systems, Data, and Analytics in leveraging technology solutions to meet the needs of UA system users throughout the department. This includes department needs assessment, Requests for Proposals, evaluating vendors, and implementing new solutions, developing training for UA staff, and providing ongoing support for questions related to these systems.
  • Manage budgetary resources to include travel expenses for staff and candidates; training and professional development expenses; and consultant arrangements, among others

Minimum Qualifications
Education/Experience:
  • Bachelors degree
  • Minimum of 5-7 years working with office operations, higher education advancement leadership, and/or staff development
Skills:
  • Ability to interact effectively with all levels of management. Leads by example in the skills of customer service and positive interaction with employees, vendors, and supervisors by mutual respect for all peoples needs.
  • Create and support an environment that focuses on coaching and development.
  • Engage UA staff using a collaborative and consultative approach that builds personal and functional credibility and establishing trust at all levels of the organization to create win/win solutions.
  • Proven track record of strong decision-making and problem-solving skills.
  • Demonstrated ability to present information to affect change.
  • Ability to effectively set priorities and manage a high volume of activity in a flexible manner.
  • Exceptional interpersonal and communications skills; including oral and written communications, listening, and presentation/facilitation skills.
  • Demonstrated ability to understand UA priorities and work through business issues to identify, develop, and implement effective solutions.
  • Strong track record of success in hiring and placing candidates, training and mentoring.
  • Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities
  • Excellent presentation and communication (written and verbal) skills
  • Ability to maintain confidentiality
  • Intermediate technical skills including proficiency in MS Office applications and databases
