Detailed Job Description
The Operations Support Specialist position performs a variety of tasks coordinating and supporting the RIT Dining Business Office (DBO) daily business and financial operations under the direction of the Associate Director - Business Services.
Business Responsibilities:
  • Act as Delivery Manager for Dining in the RIT Service Center (RSC). Includes fielding questions, first point of ticket escalation, service catalog upkeep, and submitting changes/additions to the Knowledge Based Articles (KBA's)
  • RSC first point of escalation for weekly survey respondents and policy clarification
  • Manage student employee workforce for the DBO
  • Process student employment transactions and work closely with the Student Employment Office (SEO) to communicate key dates, processes, and changes to dining locations
  • Frequently check office for general condition. Maintain, clean, and put in work orders with FMS for repair and cleaning
  • Manages the office, including ordering supplies, and processing incoming physical mail and packages for all dining locations
  • Manage storage rooms containing various office equipment, furniture, and marketing materials
  • Assist in all aspects of project research and implementation for DBO initiatives
  • Assist in the representation, planning and executing of open houses, resource fairs, webinars, departmental trainings, and all other events that the DBO attends
  • Assist with submitting marketing requests (for DBO projects and events) and marketing organization. Create and maintain a calendar of approved communications
  • Assist in all aspects of group planning including contracts, communications, calendar maintenance for dining locations, card printing, distribution and testing
  • Schedule bulk communications through StarRez, RSC ticketing system and email
  • Help onboard and maintain on-campus Tiger Bucks partners and Dining Department Card holders
  • Become first point of escalation for meal plan exception requests from the MyLife Portal and maintain exceptions from semester to semester
Financial Responsibilities:
  • Responsible for monthly Tiger Bucks Reload Station deposits
  • Assist in Brinks scheduling and communications
  • Assist with vending machine testing and reporting
  • Responsible for vending machine refund cash reconciliations and replenishments
  • Work closely with the Reporting & Data Specialist to ensure end of month processes are timely and accurate
  • Responsible for sending monthly reports to contracted groups with billing backups
  • Responsible for scheduled audits of transaction processing system (TPS) users, staff meal plans and Dining Department Card holders
  • Review monthly Dining Department Card statements, field questions, research charges and resolve issues
  • Help coordinate incoming rebate checks/funds and deposits with Shared Services Center (SSC) and Student Financial Services (SFS) and communicate to dining locations any transactions that will affect monthly reconciliations
  • Help maintain workbooks for basic transactions to assist in monthly reconciliations
  • Work closely with locations and Accounts Payable (AP) to resolve outstanding invoices and credits
  • Coordinate testing of meal plans
Other Responsibilities:
  • Greet visitors, provide directions, and respond to general inquiries
  • Provide backup to all full-time DBO employees
  • Trained on Point-of-Sale system (POS) and inventory count processes to assist locations when needed
  • Other duties as assigned

Minimum Qualifications
Education/Experience:
Associates Degree (or equivalent experience)
2 years of applicable experience in an office setting, hospitality or higher education
Skills:
  • Self-starter with strong problem-solving and prioritizing skills
  • Strong customer service skills
  • Able to work independently with minimal direction
  • Work collaboratively with staff and faculty
  • Detail oriented with ability to handle multiple and changing priorities and deliver quality results
  • Experience with Microsoft Office products
