Detailed Job Description
The Assistant Director for Major Events will:
  • Lead the coordination and implementation of multiple university-wide career fairs annually including working with internal and external vendors, responsibility for maintaining a $200,000 budget, traditional and online marketing, and logistical support in-person and virtually.
  • Run weekly committee meetings with staff members, providing guidance and direction on logistics and running of the actual campus events.
  • Partner with employers, organizations, departments, and/or other divisions inside and outside RIT to create successful events
  • Become a resident expert on Career Fair modules, platforms, and benchmarking comparative colleges to continue to provide top-tier events for students and employer partners.
  • Strive for continuous improvement through benchmarking and surveying attendees of all office events.
Responsibilities include:
  • Plan and Execute several Career Fairs, including 2 University Wide, Accounting, Civil, Packaging, Creative Industry Day and several other smaller events. These events will attract 15,000 attendees annually.
  • Act as the liaison between the Office of Career Services and campus partners who provide support to on-campus events. Including but not limited to; Gordon Field House events staff, Student Life Center event staff, Catering, Public Safety, FMS - Shipping and Receiving, Shuttle Transportation, Parking & Transportation, Marketing and Communications, University News, and Procurement Services.
  • Project management responsibilities to ensure that events are completed on time, with in scope and with in budget.
  • Act as liaison with external partners and vendors. Including but not limited to; Transportation services, hotels, Caterers, and additional vendors that provide auxiliary support.
  • Work closely with employers to identify the timing, purpose and schedule of events before, during and after fairs.
  • Work with Career Services Coordinators, RIT faculty, departments and outside contacts to promote, market and inform students about office events.

The Assistant Director for Major Events also has Career Service Coordinator responsibilities including the following: advising and counseling students and alumni in assigned programs, concerning career and employment issues; managing working relationships. with assigned employer representatives to maintain and expand employment opportunities for RIT students and alumni; working closely with the faculty and administrators in assigned academic areas and with other academic support and administrative units (e.g. undergraduate and graduate admissions, development and alumni relations, study-abroad, honors) to achieve institutional goals and objectives.

Education/Experience:
  • Bachelor Degree

  • Possess self-initiative to be given general guidance on an objective and to achieve that objective with minimal managerial guidance
