Project Coordinator

Reports To: Project Managers, Operations Manager

Mission Statement: To ensure consistent and quality project administrative support services to assist in the fulfillment of the Company's business and construction objectives

Essential Functions

  1. Generally maintains office hours of 8:00am – 5:00pm, Monday - Friday unless otherwise arranged with direct supervisor. Any work over 40 hours per week requires prior authorization by the direct supervisor.
  2. Maintain office equipment; coordinate service when necessary
  3. Issues Purchase Orders as necessary
  4. Prepare correspondence as requested
  5. Works with Doc-Link and WennSoft software when needed
  6. Scheduling meetings and events; prepare materials as necessary
  7. Ensure discreet handling of all business
  8. Ability to establish and maintain cooperative working relationships with staff members
  9. Update weekly meeting notes from project manager meeting
  10. Provide administrative support to project manager team
  11. Maintain spreadsheets for change orders, RFI’s, shop drawings, etc.
  12. Assist in creating the operation & maintenance manuals for project closeout
  13. Assist the project manager team in light commercial project duties when needed
  14. Assist with special projects & reports when needed
  15. Provide excellent communication skills with engineers, architects, owners and subcontractors when needed
  16. All other duties as assigned

Requirements

  1. Prefer two (2) to four (4) years of experience in a position of this nature
  2. Exceptional time-management, planning, and administrative skills
  3. Computer literacy, including Microsoft Office package as well as experience with scanning and data entry
  4. Advanced written and spoken (English) communication and administrative skills; excellent telephone manner
  5. The person holding this position is required to talk and hear. They are often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. They are also occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
