This position is for a Project Coordinator within the Project Management Office at RMS Energy. This is a unique opportunity to join a fast paced, growing company working on electrical equipment in power plants and other large industrial facilities. The Project Coordinator’s primary role is in supporting the Project Managers, Project Engineers, and Regional Supervisors to ensure that all necessary project information, materials, equipment, and financial data are available throughout project execution. The project coordinator will also provide support in meeting production and administrative demands, as well as logistical planning, communications, and documentation.
Preferred Locations: Orlando, FL; Cincinnati, OH; Cleveland, OH; Houston, TX; Knoxville, TN or nearby locations. A remote work setting is also available. 
Required job functions:
  • Create, coordinate, and maintain project administration records for in house and onsite activities using company software system and documentation folders to maintain completeness of information from order entry to invoicing.
  • Actively communicate within company to assure activities are properly coordinated. Receives engineering status reports and updates administration for follow up, prepares weekly production reports, attends production meetings.
  • Process requisition for material orders to identified suppliers with the capabilities to meet material and equipment needs for shop and field activities. Proactively follows up and resolves issues regarding material and equipment availability and delivery times. 
  • Document bill of materials with project engineers per project specification requirements and evaluate supplier/vendor quotations and material lists to ensure specification compliance.
  • Responsible for supporting the Project Manager in developing, issuing, and maintaining job submittals, RFI’s, and Change Orders with the customer according to contract requirements.
  • Process daily, weekly, and monthly reporting to ensure all schedules run smoothly, all jobs are completed as projected, and all costing is in adherence to budget
  • Initial analysis and evaluation of project contracts and specifications to determine key milestones, job specific requirements and safety requirements.
  • Support accounting with establishing and maintaining projects in ERP system according to invoicing schedules. Prepare invoicing applications for approval and submit to finance for processing. 
  • Contain material costs by eliminating wasteful practices and implementing appropriate control measures. Compiles and maintains inventory records of quantity, type, and value of material, equipment or supplies in stock. 
  • Support Regional Supervisor and Project Manager with development and maintenance of project schedule and ensures schedule milestones are met.
  • Communicate regularly with Regional Supervisor and Project Manager regarding project or job needs, objectives, issues and customer request.
  • Ensure company compliance with all contract requirements.
  • Maintains all required documentation and records related to the project. 
  • Progress competency at understanding, defining, and instructing others on the basic components of a job. Report on the efficiency of job completion, including effective analysis of job costing for determining correct cost roll up in the financial/production systems.
  • Support with project logistics by arranging travel and accommodations, equipment mobilization, rentals, and other activities.
  • Ensure project time reporting is entered promptly and accurately to support accounting with cost recognition and payroll.
  • Participate in weekly production meetings
  • Safety Audits
  • Communicates regularly with management regarding needs, objectives, issues, and open projects.
Experience:
  • A minimum of 2 years related experience.
  • High School Diploma.
  • Bachelor’s degree from an accredited institution in engineering, technical, or business field preferred or additional years' experience in related field.
  • Strong organizational skills and strong interpersonal skills in interacting with management, technical support staff, suppliers, and customers.
  • Proficient in Microsoft Office including Outlook, Excel, and Word.
  • Ability to carry out instructions furnished in written or oral form; deal with problems involving several concrete variables.
  • Ability to add, subtract, and divide all units of measure.
  • Ability to read company manuals and reports, workplace rules and procedures; speak with poise and confidence, using correct English. 
  • Licensures and Certifications: PMI Certifications preferred, but not required.
