Job Summary

Supports Clinical Operations and Compliance Department by managing clinician’s schedules, attending to patient scheduling needs, being a resource for clinicians, assisting with resolving patient complaints, maintaining ongoing reports, assisting with new projects, and being mindful of compliance adherence of the organization.

Work Environment: Hybrid - Primarily Remote - Will need to go into the office as needed to provide coverage (Anticipate once or twice a month)

Job Responsibilities & Qualifications

Responsibility Composition

60% - Managing clinical operations support to providers

15% - Routine reporting management

15% - Role specific processes and responsibilities

10% - Compliance & Department specific collaboration

Responsibilities

  • Communicate effectively, professionally, and promptly with clinicians
  • Communication breakdown as follows: 50% emails, 20% video calls, 30% phone calls
  • Coordinate clinicians’ calendars with patients, supervisions, and other optional or mandatory meetings
  • Monitor clinician schedules to ensure productivity and appropriate time blocks
  • Develop and maintain collaborative professional relationships between operations and clinical departments
  • Provide onboarding support by training and assisting incoming new clinicians
  • Ensure efficient onboarding and deboarding processes of providers with thoughtful collaboration involving necessary departments (People Operations, Marketing, etc.)
  • Be a resource by providing additional support with clinical platforms, policy adherence, and report management
  • Audit clinician compliance trainings and productivity standards
  • Research, develop, and report on clinical operations projects initiated by you or delegated to you to maximize efficiency
  • Review and resolve patient complaints in a professional and timely manner
  • Support facilitation of patient transfers
  • Maintain the Master List of Providers
  • Leverage Monday.com to maintain role and department specific boards
  • Adept in troubleshooting EHR systems and business platforms
  • Manage ongoing reports such as missing notes, deleted notes, unlocked notes, patients without follow-up appointments, and any other reports assigned/developed
  • Ensure attendance and engagement by contributing to all departmental meetings
  • Promote a friendly work culture that encourages a fun, collaborative, and co-learning environment that benefits individuals well-being, self improvement and potential
  • Perform other related role and team function duties as assigned by department and group leaders

Qualifications

Required Education Level: High School Diploma or equivalent

Education Details: Degree in healthcare, business, operations or compliance preferred

Additional Qualifications, Skills & Attributes

  • Two years of healthcare setting, business operations and clinical provider experience
  • Desire to assess processes and provide effective solutions
  • Organized and detail oriented
  • Ability to build partnerships and foster collaborative relationships across the organization
  • Self motivated and able to work autonomously
  • Team oriented
  • Proficient with utilizing a diverse range of technology platforms and systems (Google Suite required, company wide platforms/software like Monday.com and EHR/EMR platforms when applicable)
  • Intermediate computer skills and technical aptitude required.

Compensation & Employment Details

Pay Range: $40,000 - $50,000

Employment Status: Full Time (40 hours a week)

Minimum Hours: 40

Exemption Status: Non-Exempt W-2

Work Environment: Hybrid. Will need to go into the office if needed. Notice will be given

Work Schedule: Monday - Friday. 8am-4pm or 9am-5pm
Eastern Time Zone
