The new Crisis Stabilization Diagnostic Center (CSDC) in the middle of Macon will be another historic milestone for Macon and the State of Georgia.
Once completed, the CSDC will be a 16-bed crisis stabilization unit for individuals with Intellectual and Developmental Disabilities (IDD) and/or co-occurring IDD/BH diagnoses. Through a partnership with Mercer University School of Medicine, there will be additional space for outpatient clinic services such as primary medicine, dental, vision, podiatry, and other specialty services. This state-of-the-art facility will be a game changer for the care and treatment of the IDD population in the State of Georgia and other surrounding states.

Position Summary:
The Office Manager is a healthcare expert who plans and oversees clinic services, ensuring the individuals receiving care at the Crisis Stabilization Diagnostic Center obtain optimal care and services. The Office Manager adheres to ongoing review and measurement of programs, services, and applications to comply with regulations, policies, procedures, and standards set by the Georgia Department of Behavior Developmental Disabilities (DBHDD). The Office Manager is ultimately responsible for ensuring all administrative tasks are completed on time and correctly, managing patient records, handling payroll, billing, or budget inquiries when necessary, and keeping everything running smoothly within the DBHDD and the organization’s standards.
The CSDC will provide comprehensive assessments, behavioral design, and intervention programs for individuals with Intellectual Disability Disorder (IDD) and behavioral challenges.
DBHDD is looking for energetic, passionate, and caring individuals with an entrepreneurial spirit who will help us bring this vision of the CSDC to Macon, GA. Responsibilities:
  • Scheduling and coordinating individual appointments - Review operational requirements to ensure the scheduling and assigning of medical and clinical appointments optimize efficiency; follow up on appointments to ensure same-day access and heighten patient satisfaction and the overall facility efficiency.
  • Monitor utilization and billing payments - Record and update personal and financial information for patient records. Verify patient insurance when necessary to assist with billing or unpaid claims.
  • Establish and implement office standards - Develop office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments. Keep leadership informed by reviewing and analyzing reports. Summarize data to identify trends.
  • Ordering medical and office supplies and equipment - maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement. 
  • Developing and implementing office procedures - Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
  • Supervise administrative and office staff - maintain a record of office staff job results by coaching, counseling, and developing staff while planning, monitoring, and appraising job results. Recruit, select, onboard, and train employees when appropriate
  • Maintain medical and staff records - maintain historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of medical and staff records.
  • Liaising with medical and clinical - arranging, monitoring, and managing cleaning staff and emergency maintenance services.
  • Fiscal Responsibility - Achieve financial objectives by participating in and reviewing the annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions. Monitor, track, and generate inventory records.
  • Community outreach and Communication - Provide program information and insightful materials for individuals, caregivers, families, and staff.
Technical Competencies:
  • Ethical Practices: Able to Behavior Analyst Certification Board (BACB) Professional and Ethical Compliance Code for Behavior Analysts.
  • Collaboration: Able to understand and interpret organization, state, and federal regulations set forth to include professional development, safety training, and confidentiality policies as required by DBHDD and collaborate with other behavioral professionals.
  • Organizational Agility: Knowledgeable about how CSDC operates; knows how to get things done through both formal and informal channels. Understands the origin and reasoning behind key policies, practices, and procedures.
  • Training: Ability to onboard and coach CSDC staff, practitioners, and contractors in the Mindset de-escalation methodology, policy, procedures, culture competencies, infection control, and HIPAA. 
  • Emotional Intelligence: Must be able to remain calm emotionally and physically and refrain from responding inappropriately to irritate or upset clients who may attempt to evoke a response from the staff (such as calling names, spitting, or verbal threats)
  • Drive for Results: Can be counted on to exceed goals successfully: is constantly and consistently one of the top performers; very bottom-line oriented; steadfastly pushes self and others for results.
Qualifications:
  • A high diploma is a must; a bachelor’s degree in business administration, accounting, or a similar field is preferred.
  • Two or Three years in a medical office setting managing the day-to-day flow of the office.
  • Proficient with Microsoft Office Professional Suite, Office 365, SharePoint, and Outlook.
  • Five (5) years of Management/Leadership experience
  • Three (3) years of experience in a community or education-based behavioral health treatment facility, preferred
Conditions of Employment:
  • Valid GA Driver’s License or Identification with reliable transportation.
  • Must pass an extensive background check.
  • Must pass a pre-employment drug screen.
  • Must consent to TB test or Chest Xray.
  • Must submit and consent to contacting three acceptable professional references.
  • Must have the ability to pass basic CPR and first aid, Mindset, and other required training.
