Overview

As the Artthaus Commercial Portfolio Property Manager you lead a team to ensure an excellent day to day experience at our creative business community and across our commercial portfolio. Our team’s mission is to consistently exceed the expectations of our members, vendors, and guests by providing exceptional customer service tailored to individual needs while achieving operational excellence in managing our commercial properties. This role oversees all functions that it takes to optimally run our commercial property portfolio which includes the Artthaus Studios building as well as 6 other commercial assets in our residential portfolio. From community engagement and events, to operations and the full sales cycle including leasing, this role's focus is to exceed our fiduciary responsibilities to investors and lenders.

Primary Responsibilities:

Membership Engagement, Retention and Community Building:

  • Collaborate with and manage the Artthaus team to build extraordinary day-to-day relationships with Artthaus Studios members, vendors, guests, and potential clients. Uphold an exceptional level of professionalism and friendliness to guarantee a stellar experience.

  • Swiftly and professionally resolve member concerns, escalating urgent matters to the appropriate team members as needed.

  • Spearhead efforts with the Artthaus team to boost member retention and elevate overall satisfaction levels across the commercial asset portfolio.

  • Enhance member experience through smooth operations of Artthaus Community Events.

Property Management Operations:

  • Oversee the day to day operations of the building and all the amenity spaces our buildings offer from member spaces to conference rooms, event spaces, storage, and parking as well as other commercial properties in the assigned portfolio.

  • Oversee move-in and move-out processes to provide a seamless and exceptional experience, while vigilantly ensuring lease compliance for a well-regulated community.

  • Hit ambitious financial targets, including a 98% collection ratio on invoiced rent and a 95% Net Operating Income, to establish a benchmark of fiscal excellence across assigned portfolio.

Building Maintenance:

  • Lead Artthaus Studios' maintenance and operations team with a focus on excellence, overseeing everything from hiring and budget management to setting top-tier cleanliness and ambiance standards through rigorous janitorial supervision.

  • Establish and enforce best-practice maintenance protocols, covering reactive and preventative measures, emergency responses, and staff training focused on safety and skill enhancement at Artthaus studios as well as other commercial units.

  • Manage all vendor relations and building's purchasing processes, while also coordinating with the asset management team on Capex and TI projects to ensure seamless operational efficiency.

Building Leasing Management:

  • Drive the full sales cycle for Artthaus office, event spaces as well as other commercial units in the assigned portfolio, from lead generation to closure, with support from Artthaus team members as well as other third party property management partners, while fostering strong relationships with marketing teams and brokers.

  • Ensure effective onboarding of new members and tenants and meet renewal and occupancy targets.

  • Collaborate closely with internal and external teams to set and achieve monthly and weekly leasing goals, optimize branding across all channels, and adhere to company policies in all leasing activities.

  • Efficiently delegate tasks within the leasing cycle to relevant Artthaus team members, ensuring consistent and fair distribution of responsibilities while achieving Gross Potential Rent targets.

Event Management:

  • Work with the Director of Operations and Artthaus team members to prepare spaces for the hosting of events for Artthaus members, including Riaz Capital events and community events.

  • Ensure smooth operations of Artthaus events with assistance from Artthaus team including but not limited to vendor coordination, set up, staffing, execution of event and break down and clean up.

Finance/Accounting/Reporting/Systems:

  • Oversee weekly and monthly financial and operational closures, while collaborating with the team for accurate reporting and oversight for assigned portfolio.

  • Update appropriate tracking and accounting systems such as Yardi, and building databases to ensure timely system accuracy

  • Deliver comprehensive weekly updates on project statuses and financial metrics, utilizing project management tools like Asana for streamlined communication.

  • Manage all facets of budgeting and expense tracking, from owning monthly expense reconciliations to assisting in budget preparation and analysis.

Team Collaboration:

  • Lead and train the Artthaus team members, focusing on effective onboarding, routine feedback, and alignment of priorities between Member Experience and Operations.

  • Maintain rigorous reporting and project tracking, delivering weekly updates to management and ensuring all tasks are well-organized.

  • Guarantee top-notch service delivery in facilities and maintenance, while ensuring coverage and staffing continuity, especially during the absence of direct reports.

  • Collaborate with property management partners at residential buildings that have commercial properties in assigned portfolio to ensure excellent customer experience.

Secondary Responsibilities

  • Manage and direct the leasing activities for company-owned future construction sites during their entitlement phase.

  • Other tasks as assigned on an as-needed basis to help achieve goals of Artthaus Studios and Riaz Capital.

Requirements/Skills:

  • Bachelor’s degree

  • 5 years of previous commercial real estate property management experience

  • Minimum two years of management experience training, development and leading direct reports

  • California Real Estate License and RPA or CPM designations

  • Strong knowledge of finance and building operations

  • Excellent communication skills

  • Highly proficient in Microsoft Excel, Word, and Yardi

  • Professional and exceptional leadership, problem solving, and analytical skills
