Reynolds School District is Hiring a CAREER AND TECHNICAL EDUCATION (CTE) ADMINISTRATIVE ASSISTANT (#Career and Technical Education (CTE) Administrativ) Near Fairview, OR

Job Summary: Under the supervision of the Director of Career and Technical Education, Serve as the first Career & Technical Education (CTE) point of contact to all staff, community members and community partners. Perform a wide range of administrative duties associated with supporting the CTE Director and program staff, with routine work activities and special projects including coordination, correspondence, research and reporting. 

Qualifications:

Education/Certification/Bonding and/or Testing Required: High School Diploma (Associates Degree?preferred); Oregon Fingerprinting and Criminal Background Check clearance.

Special Knowledge/Skills/Abilities:

Knowledge to articulate rules and regulations, District policies and procedures, and contractual language related to CTE. Career & Technical Education administration. Excellent and effective customer service.

Skills to operate standard office equipment with advanced experience working with?Microsoft Office?Suite and other industry related technology applications. Use English in both written and verbal form to prepare correspondences, reports, spreadsheets and other documents; perform mathematic calculations, and apply basic accounting principles?and practices. Speak, read and write Spanish effectively preferred

Abilities to work well independently and as part of a team; work accurately and with attention to detail. Maintain multiple priorities to meet deadlines with minimal supervision. Possess a high degree of organization skills and attention to detail.

Experience:

Prior job-related experience with increasing responsibility, preferably in a school and/or public employment environment.Prior CTE experience preferred. Three years of responsible and technical experience.

Major Responsibilities and Duties:

CTE Duties

  1. Assist employees, students and families, community partners and community members by phone, email, letter or in person as needed, responding to frequently asked questions and/or re-directing them to the appropriate people, programs or information; direct more complex questions to appropriate CTE program staff.

Major Responsibilities and Duties:

  1. Respond to inquiries regarding a variety of CTE related issues.
  2. Coordinate meetings for advisory boards, Perkins, M98 dual credit and internal district alignment; send meeting reminders to staff as needed. 
  3. Make travel arrangements for professional development.
  4. Participate in meetings, workshops and seminars as assigned and convey and/or gather information required to perform functions.
  5. Stay current and up-to-date on industry trends and opportunities around CTE and professional development such as trainings and workshops and keep the CTE team apprised of these opportunities.

Records, Reports, and Correspondence

  1. Prepare department communications, correspondences, forms, manuals, reports, purchase orders, and payment authorizations following District standards and requirements. 
  2. Collect data and compile, maintain, and file all reports, records, and other documents as required to further CTE projects.
  3. Prepare written and electronic materials (e.g. reports, memos, letters, forms, surveys, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  4. Schedule meetings and appointments and maintain calendar for the CTE Director or their interim
  5. Maintain department calendar of events. Schedule a variety of activities (e.g. interviews, meetings, travel arrangements, etc.) which assist in meeting CTE staff needs.
  6. Assist with planning, preparation, and setup of department meetings and activities.
  7. Maintain employee records in both physical and electronic formats and ensure records are current and accurate.

Accounting and Inventory

  1. Process and reconcile department invoices and billings (e.g. purchases, legal, etc.) and ensure accurate budgeting and payment in accordance with CTE contract provisions.
  2. Follow up on deliveries of equipment and supplies to get invoice’s paid in a timely fashion.
  3. Assist with department budget preparations and compiling specific inventory for grant compliance and replacement schedule. 

Other

  1. Maintain confidentiality.
  2. Follow District safety protocols and emergency procedures.
  3. Assist and support CTE staff in the completion of their job functions.
  4. Maintain regular and prompt attendance.
  5. Work flexible hours, sometimes remotely.
  6. Other duties as assigned.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals.

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.

Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching.

Lifting: Occasional light lifting and carrying (under 15 pounds).

Environment: May work prolonged or irregular hours.

Mental Demands: Work with frequent interruptions.
