Accounts Receivable Administrator

 Summary Description:
The AR Collections Administrator is responsible for collecting payments for a company using skills in project management, organization, and communications to collect the payments from clients and customers. 
AR Collections:
Review AR aging regularly and clean up any unapplied payments; if they are legitimate credit balances – enter a complete note in business tracking systems as required.
Contact via phone and/or email on any past due amounts – determine payment status or issues – enter a complete note in business tracking systems as required.
Email or resubmit billing information as requested by customer.
Research customer disputes and billing discrepancies and resolve with customer or billing team.
Manage credit policy and customer credit requests.
Manage credit hold order releases daily and escalate to your supervisor as necessary.
Cash Receipts:
ACH/Wires
Review bank websites twice a day.
Post each incoming ACH/Wire as a deposit to the bank account and apply the funds to the customer’s account accurately and timely (same day)
Check Deposits
Assemble all checks received, endorse, and prepare the bank deposit.
Perform the bank deposit before 4pm daily.
Update customer notes in Smart Sheet or systems as required noting the payment reference, amount, date, image, etc.
If the amount of the payment does not match the customer’s balance/invoices, research with customer/billing as to the reason and ensure to enter a complete note in Smart Sheet or systems are required.
General Duties:
Assist in problem solving and tracing sources of errors in customer accounts with a focus on resolution.
Communicate with and exchange information verbally and in writing.
Complete projects as assigned.
Other duties as assigned.
