The Construction Project Administrator interacts with employees and teams at every level within our multi-family project organization, from Project Managers to Customer Service Managers to Accounting to our Installation Team.
General Duties & Responsibilities
· Collecting and organizing all completion certificates in the field to create billings for customers.
· Provide accurate billings for accounting to send out.
· Weekly and monthly reporting and relaying information as required.
· Monitor and manage all projects $, including key metrics.
· Support Project Managers with accurate vendor payments.
· Review and approval of project billings and anticipated adjustments for system update.
· Oversight of accounts receivable with a goal to maintain 30 days outstanding as a corporate goal.
· Works with teams to monitor billings and project performance, ensuring the overall success of projects.
· Oversight of all billings. Review project billings during operations meetings with PM as well as review of any outstanding risks to meeting project deliverables and deadlines, troubleshooting any “out of scope” issues. Also maintaining a watch list of potential projects that may require adjustment in the future.
· Participate in strategic knowledge-sharing project management meetings.
· Participating in shop/vendor bid process.
· Manage change orders.
· Understanding and input on contracts to assist in project success as well as improved company processes for future projects.
· Cost reporting and billing projections for projects
· Reviewing and approval of weekly invoices for payment to vendors
· Strong commitment to document control
· AIA Contracts and pay apps
Skills Sets & Capabilities
· Excellent oral and written communication skills.
· Attention to detail and excellent with math. Ability to recognize inconsistencies to prevent and correct mistakes before they are made in billings and payments.
· Develop good working relationships with colleagues.
· Ability to work independently and as a team.
· Ability to balance, delegate, and prioritize multiple day-to-day and ongoing projects simultaneously in an organized manner.
· Strong problem-solving skills.
· Must be proficient in Microsoft Office Suite, with strong and thorough knowledge of Excel, Word, and Outlook.
· Relevant industry experience.
· 3-6 years of construction experience in similar roles is ideal.
· Minimum of 3 years of relevant accounting experience.
· Knowledge of common business processes including accounts payable, accounts receivable/invoicing, financial reporting, etc.
· Actively engages multiple perspectives when solving problems, seeks to learn from peers, and encourages reciprocal learning among team members.
