Project Coordinator and Sales Assistant

Position Description:

The project coordinator is responsible for ensuring that project orders are placed accurately with timely scheduling and completion. The Project Coordinator will also assist salespeople in day-to-day activities, that help ensure that our customers get quality service. This position acts as the communication hub and point of contact for vendors, sales and project manager.

Responsibilities:

  • Perform general clerical duties, such as answering phones, distributing online inquiries, scheduling vendor meetings, and filing project material resources.
  • Place furniture/material orders and ensure they are acknowledged in a timely manner with accuracy.
  • Reconcile order acknowledgements and invoices against CORE database.
  • Initiate Proforma payments with Accounting as needed.
  • Track orders to ensure product orders arrive in full and on time for installation and digitally “receive” in order management system for proper documentation.
  • Coordinate with Project Manager.
  • Update project information in CORE Business System and maintain meticulous project records.
  • Assist in showroom product demonstrations and help keep showroom presentation ready.
  • Maintain sample libraries.
  • Provide excellent and professional service to customers in person, in writing, and on the phone.
  • Help establish “RBI Best Practices” and Standard Operating Procedures, in order to ensure our team operates in a high level of accuracy and efficiency.
  • Research products and generate quotes as requested.
  • Gather information to help generate formal response documentation to Bid Proposals.
  • Run errands to collect or distribute samples / products using company vehicle (as needed).
  • Represent RBI at Industry and networking events. Help us to maintain representation in the community and execute RBI industry events.
  • Help maintain quarterly schedule of appropriate website updates and social media.
  • Maintain professional and courteous appearance and demeanor.
  • Maintain a safe and clean work environment.
  • Other duties as assigned.

Required Qualifications:

  • Two years of sales assistant, sales order tracking, project coordination and/or management experience.
  • College degree preferred.
  • Must have a valid driver’s license, insurance, and safe driving record.
  • Proficient with Microsoft Office programs.
  • Ability to deliver excellent customer service with a high degree of professionalism.
  • High level of organization and attention to detail with demonstrated prioritization skills.
  • Team player and willing to assist with other duties as needed.
  • Ability to work independently.
  • Effective problem-solving skills and ability to share skills and knowledge with others.
  • Ability to read and write checklists, reports, and correspondence.
  • Ability to read and comprehend complex instructions, memos, etc.
  • Industry background or prior work experience in project management, architecture, construction is a plus.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • This job requires that an employee be available in person at the office and/or job sites. Potential future remote work days possible as scheduled and coordinated ahead of time.
  • Must be able to lift 40 pounds on occasion.
