Summary of the Role and Responsibilities:
The Assistant Director of Catering Operations will work closely with the Director of Catering Operations, Venue Coordinators and Event Supervisors to ensure all people and spaces are event-day ready. The Assistant Director of Catering Operations will be expected to oversee all catering operations during events and assist in any area to ensure flawless execution.
In addition, the Assistant Director of Catering Operations will oversee and assist in the weekday event planning and preparation duties, including but not limited to, BEO meetings, rental orders, venue maintenance and scheduling.

Responsibilities
:

  • Know, understand, and adhere to company established policies and procedures.

Event Quality and Client Satisfaction:

  • Event Quality and Client Satisfaction:
  • Check in with each venue/Venue Coordinator on event day.
  • Oversee and support Venue Coordinators in managing critical event-day situations, including but not limited to, ceremonies, room turns, dinner service.
  • Assist with day-of issues, including but limited to, staffing, maintenance, weather, inventory, guest and client concerns and feedback.
  • Build rapport and establish trust with clients and guests; ensure clients and guests feel welcome and are given prompt, friendly and courteous service.
  • Assist in resolving any guest complaints or issues.
  • Solicit and review client, guest and FOH staff feedback on event execution and improvement.
  • Oversee distribution of liquor and bar items to Lead Bartenders.
  • Ensure all events are executed at the highest standards set by protocol.
  • Ensure that safety and security procedures are followed.
  • Model and communicate the VIV MEE Mission, Virtues and Values.

HR/Leadership and Management:

  • Conduct weekly BEO meetings with Venue Coordinators.
  • Ensure 100% participation of all Catering Staff in weekly VIV MEE Virtues Training to maintain the unique version of hospitality that VIV MEE has promised to our guests and teammates.
  • Interview, hire, discipline and terminate FOH employees; ensure staffing pars are maintained.
  • Schedule and conduct training sessions along with Event Supervisors and Director of Catering Operations.
  • Schedule FOH and housemen staff for events.
  • Provide feedback to the Director of Catering Operations for employee reviews.
  • Attend recruiting and hiring events as required.


Facilities
:

  • Ensure venues are event day ready (clean, properly equipped, maintenance issues fixed).
  • Maintain inventory records and counts (weekly and monthly inventory checks)
  • Ensure in-house equipment is transferred correctly.
  • Displays awareness and compliance with security safety and emergency procedures.
  • Ensure proper storage of equipment is maintained to reduce breakage and loss.
  • Works closely with EVS and Facilities to report and oversee timely repairs to ensure flawless event execution.
  • Conduct walk-throughs with the Director of Catering Operations, Venue Coordinators and Facilities to monitor repairs and schedule general maintenance.
  • Inspect potential risk and injury situations in event areas; report to the Director of Catering Operations.

Financial:

  • Maintain invoices and accurate cost records for all rental items.
  • Approve and submit all event orders from Venue Coordinators (linens, outside rentals).
  • Submit inventory records and order to the Director of Catering Operations for plates, glassware, silverware, etc.
  • Ensure proper banquet check control and reporting.
  • Oversee profitability management and ensure events remain within set financial budgets.
