Overview
The Project Coordinator directly supports Project Managers in the daily management of multiple projects for our healthcare partners. The size and scope of the projects assigned are large and complex, and usually consist of high profile development and/or launch activities. Specific responsibilities include the creation and maintenance of project timelines, budgets, resources, and documentation at the direction and under the supervision of the Senior Project Manager. As the secondary point of contact with our Healthcare Partners behind the Project Manager, the Project Coordinator maintains strong professional relationships with them through setting realistic expectations and timely communications. Project coordinators also perform various administrative tasks. These tasks include filing project documents, creating and maintaining project schedules, creating responsibility lists for those who are involved in the project, and compiling summaries for those who were involved.
Responsibilities
  • At the direction of multiple Project Managers, participate in internal, cross-functional teams to ensure project milestones are met as contracted with our healthcare partners.
  • Support the Project Managers in the development, completion and maintenance of project charters, project progress reports as well as ad-hoc reporting requests.
  • Maintain timelines, schedule project meetings, create meeting agendas, prepare and present project progress to various audiences.
  • Gather information and contribute to the writing and review of documentation such as Requests For Estimate (RFE's), Protocols, Project Scope Documents (PSDs),
  • Coordinate project team meetings, teleconferences, and Site visits including the creation of meeting agendas, taking minutes, preparing meeting summaries, tracking action items, and archiving project documents.
  • In the absence of the Project Manager, lead client facing meetings including project deliverables, budget allocation, explaining performance metrics, project kick-offs and monitoring visits.
  • Track project milestones and prepare and update key project documentation (progress reports, timelines, and meeting minutes) to ensure adverse events are reported according to Company requirements and provide updates to the Project Manager.
  • Properly document any changes to project scopes and follow up to ensure approval of same by the client and internal team members.
  • Establish and maintain complex hard copy and electronic filing systems, maintain existing databases and develop routine spreadsheets and reports.
  • Route and track materials and documents through internal Renaissance systems
  • Coordinate, receive, distribute, and/or ship project information, samples, clinical supplies, commerical product, etc.
  • Facilitate transition of commerical product from Project Management to Commerical Operations group.
  • Entertain clients at lunch, dinner, and other off-site events. Visit customers from time to time for project/business reveiws.
  • Identify potential issues and support the Project Manager in managing cross-functional resolution.
  • Idenfity opportunities to improve processes/systems.
  • Self-develop to be able to move into positions of greater responsibilitiy as opportunities occur.
  • Perform other duties and responsibilities as assigned.Qualifications
    Bachelor's degree in a relevant field and at least 1 year experience in pharmaceutical manufacturing environment required. A High school degree and 5 years' experience would also qualify.
    Proficient with Microsoft Word, Excel, Project and Powerpoint.
