Job Overview:
Seeking a reliable and organized individual to manage front office operations, support escrow processes, and assist with event coordination and marketing tasks. The ideal candidate will provide exceptional customer service, handle various administrative duties, and maintain office and escrow supplies.
Key Responsibilities:
Morning Duties:
- Open and prepare the office and lobby
- Restock supplies and prepare coffee stations
- Distribute mail and check voicemails
General Duties:
- Answer and direct phone calls
- Greet and assist clients
- Manage incoming and outgoing mail and packages
- Process commission checks and assist with MLS system
- Maintain cleanliness and supplies in common areas
- Order and restock office and machine supplies
Escrow Duties:
- Prepare and manage escrow files and data
- Assist with escrow processing tasks
- Ensure office security at the end of the day
Event and Marketing Duties:
- Coordinate food orders and setup for meetings
- Manage website updates and holiday decorations
- Assist with tech needs and marketing updates
Closing Duties:
- Restock and clean office and coffee stations
- Shred documents and manage supply deliveries
Additional Duties in Absence of Office Manager:
- Record and process commissions
- Handle QuickBooks entries for payments and deposits
- Assist with phone and server troubleshooting
- Oversee front desk reception coverage
