JOB TITLE: RIVA AMERICORPS Administrative/Program Assistant—Part -Time, HOURLY

OVERVIEW:

The RIVA AmeriCorps Administrative/Program Assistant serves as a vital liaison between management, program host sites, and members. This role requires a passionate individual with strong communication skills, organizational abilities, and a deep commitment to the RIVA AmeriCorps mission.

This position will aid developing position descriptions for new members and locations, as well as provide support to members in project management.This position will be the main support position for the RIVA AmeriCorps Staff related to correspondence, file organizing, and scheduling matters.

DEADLINE: RIVA AmeriCorps Assistant to send resumes by May 30, 2024.

FRAMEWORK: Hourly/Effective Immediately Upon Hire

SERVICE AREAS: Primarily in the Cedar Rapids, Iowa City, and Des Moines areas

WORK SCHEDULE: Hourly: Flexible hours to accommodate applicant and program needs. In Cedar Rapids office 2-3 days a week. Expectation of 20 hours per week between regular office hours.

RESPONSIBILITIES:

  • Assisting with AmeriCorps recruitment and onboarding processes including position description development.
  • Serve as the main Cedar Rapids office point of contact for RIVA. Including answering commonly asked questions, escalating needs as necessary and providing consistent communication with Program stakeholders.
  • Proofread and fact check RIVA AmeriCorps communication items
  • Support members in project development and execution
  • Provide administrative support for management team members and other staff as requested. May include drafting communications, scheduling meetings, ordering supplies, conducting research, tracking expenses, mailing materials, taking meeting minutes, maintaining contact lists, etc.
  • Organize and maintain electronic office files.
  • Assist with the development of assigned forms, reports, slide decks, spreadsheets, brochures, and factsheets.
  • Coordinate assigned projects such as needs assessments, engagement surveys, planning process logistics,.
  • Provide technical assistance to staff, meeting/conference participants, and other key stakeholders.
  • Attend select team/committee meetings to seek input, receive new assignments, and give status updates.
  • Manage front office responsibilities including email and phone.
  • Act as a communication liaison for AmeriCorps members as needed.
  • Be organized and effectively track goals, deadlines, and projects.
  • Other duties as assigned.

GENERAL SKILLS

  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent communication skills
  • Experience in project coordination or management is preferred.
  • Experience in multitasking and data management in google drive
  • Familiarity with office equipment and basic clerical tasks
  • Ability to handle sensitive information with confidentiality
  • Proofreading
  • Positive, professional, and courteous with internal and external individuals and groups, including a good communicator and an advocate who’s able to work with members of refugee communities.
  • Proficient oral and written communications that is clear, comprehensive, and explains actionable items. Accessible and able to work in-person, by phone, and/or by computer. Gather relevant information and share, as needed.
  • Proficient in English and preferably bilingual.

REQUIREMENTS:

  • Ability to travel throughout Iowa, as needed, to assist RIVA AmeriCorps applicants.
  • Willingness to work flexible hours, including occasional nights and weekends.
  • Experience working with AmeriCorps program is a plus.
  • Two-year associate degree or four-year college degree preferred in any of the following areas: human services, social work, leadership development, international studies, foreign languages, psychology, project management, event management etc.
  • 0-2 years of related experience preferred.

PROGRAM BENEFITS:

  • $20-$25/hour based on experience
