Operations Systems Specialist

We are currently seeking a detail-oriented and analytical Equipment Coordinator/Data Analyst Admin to oversee our Computerized Maintenance Management System (CMMS). You will be the linchpin in our operations, ensuring that all equipment is tracked, costs are managed, and vendor services are coordinated efficiently. 

Responsibilities will include:

• Operate and maintain the CMMS, ensuring accurate data entry and system updates.
• Coordinate with vendors for scheduled services and manage service-related communications.
• Craft and dispatch service emails, maintaining a clear record of all correspondences.
• Track and monitor equipment performance, maintenance schedules, and lifecycle costs.
• Analyze equipment-related data to produce actionable insights and reports.
• Assist in budgeting and forecasting equipment costs and maintenance expenses.
• Support continuous improvement initiatives through detailed data analysis.
• Liaise between departments to ensure equipment availability and operational readiness.
• Generate, enter, and manage Purchase Orders (POs) for equipment and services within the CMMS.
• Monitor the progress of POs, from issuance to completion, and follow up on any delays or discrepancies.

Desired Qualifications:

• Bachelor's degree in Business Administration, Engineering, Information Systems, or a related field.
• Experience in data analysis within a maintenance or equipment-focused industry.
• Prior experience working with vendors and service contractors.
• Proven experience in an administrative role with a focus on equipment management or data analysis.
• Familiarity with CMMS software and its application in a maintenance environment.
• Strong organizational skills with the ability to manage multiple tasks and priorities.
• Excellent communication skills, both written and verbal, with a proficiency in drafting correspondence.
• Analytical mindset with advanced problem-solving capabilities.
• Proficient in Microsoft Office Suite, especially Excel, or comparable data analysis tools.
