Red Thread is Hiring a Contract administrator Near Wilmington, MA

The Contract Administrator will be responsible for AIA billing, tracking, contract submittals and maintenance for multiple concurrent projects throughout all divisions.

Additionally, they will provide support in the creation of floor covering submittals well as oversee subcontractor compliance relating to service agreements and insurance.

SUMMARY :

Specific details of the position include, but are not limited to :

Preparation of monthly AIA billing documents in accordance with contract terms.

AIA billing is a standardized method of construction billing using a percentage of completed contract method (IE : Progress Billing).

The purpose of AIA billing is to standardize the job-related paperwork sent to architects and others, by construction companies and contractors.

Preparation of monthly AIA documents typically include the following;

Creation / submission of Schedule of Values (G703) to General Contractor for approval.

  • Obtaining monthly projected billing totals from various departments for all AIA projects.
  • Preparing G702 (Application for Payment) per the approved billing totals.
  • Completion of all additional contract-specific billing documents (e.g. Lien Waiver, Bill of Sale, Sub-tier Waiver, Certified Payroll, Contract / Payment Reconciliation, Change Order Log),
  • Submission of billing documents via online and / or direct hard copies to customer and reconciliation to our Hedberg business system.
  • Contract review for RFP responses and customer contracts.
  • Manage subcontractor master service agreements and insurance monitoring.
  • Administer enrollment and compliance for all Red Thread subcontractors.
  • Maintain listing of all approved subcontractors.
  • Floorcovering contract submittals and maintenance.

QUALIFICATIONS

The ideal candidate will possess the following skills :

  • Organizational : Ability to organize and manage multiple projects / tasks.
  • Technology : Data linking / transfer and interaction with Hedberg & Excel. Navigating various customer online compliance / submittal sites and portals.
  • Process improvement focus : Proactively identifying, analyzing and improving existing business processes.
  • Interpersonal and cross functional skills : Communication and coordination between various departments / customers to ensure timely and accurate billing documents.

Significant interaction with divisional managers, V.P. of Treasury Services, customers and various subcontractors will be needed for success.
