Job Summary:

As a Title Support Specialist, your primary responsibility will be to ensure the title and escrow teams are supported through inbound calls, post close work and general support of the business. You will play a vital role in ensuring compliance with local, state, and federal regulations while maintaining efficient processes as well as handling incoming calls from borrowers and sellers to help connect them with the right parties. Your attention to detail, organizational skills, and ability to coordinate with various stakeholders will contribute to the smooth execution of supporting activities.

Duties/Responsibilities:

  • Answer incoming calls promptly and professionally, maintaining a friendly and courteous demeanor.

  • Listen attentively to customer inquiries, concerns, or requests, demonstrating empathy and understanding.

  • Provide accurate and detailed information about products, services, promotions, or policies to customers.

  • Assist customers in resolving issues, complaints, or technical difficulties they may encounter, aiming for a satisfactory resolution.

  • Escalate complex or unresolved issues to the appropriate department or supervisor for further assistance or resolution.

  • Maintain a high level of professionalism, adhering to company policies, procedures, and quality standards.

  • Collaborate with team members and share knowledge, best practices, and insights to enhance overall team performance.

  • Review loan documentation, including deeds, mortgages, and other relevant legal instruments, to ensure accuracy and completeness before recording.

  • Research and understand local, state, and federal recording requirements and guidelines to ensure compliance.

  • Prepare and organize loan documents for recording, including verifying document order, completeness, and appropriate attachments.

  • Coordinate with internal teams, title companies, attorneys, and other external parties to obtain missing or corrected documents as necessary.

  • Communicate with county recorders, couriers, and other recording entities to facilitate the timely submission and recording of loan documents.

  • Monitor the progress of recorded documents and address any issues or rejections promptly.

  • Maintain accurate records of recording activities, including tracking recording fees, document statuses, and tracking numbers.

  • Collaborate with post-closing and servicing teams to ensure smooth transition and transfer of recorded documents for loan servicing purposes.

  • Stay updated on changes in recording regulations, requirements, and best practices to ensure compliance and efficiency.

  • Assist in the development and improvement of post-closing recording processes and workflows.

  • Provide exceptional customer service by responding to inquiries from internal stakeholders and external parties in a timely and professional manner.

Required Skills/Abilities:

  • Strong attention to detail and organizational skills to ensure accurate and efficient document preparation and recording.

  • Excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders.

  • Ability to work independently with minimal supervision and also collaborate effectively in a team environment.

  • Strong problem-solving skills with the ability to identify and resolve recording issues or rejections.

  • Ability to prioritize and manage multiple tasks, meet deadlines, and adapt to changing priorities.

  • Commitment to maintaining confidentiality and handling sensitive information with discretion.

Education and Experience:

  • High school diploma or equivalent; additional education in legal studies, real estate, or a related field is preferred.

  • Previous experience in post-closing, loan processing, title work, or a similar role within the real estate industry.

  • Familiarity with legal documents related to real estate transactions, such as deeds, mortgages, and title commitments.

  • Knowledge of local, state, and federal recording requirements and regulations.

  • Proficient in using document management systems, loan origination systems, and Google Suite.
