Position Summary:
Under the direction of the Manager of Fulfillment, the Fulfillment Coordinator will coordinate the logistical process and fulfillment requests for school equipment, materials, and supplies to students, staff, and families. The Fulfillment Coordinator works closely with the school’s logistics providers to ensure accurate and timely customer support for the inventory, scheduling, and fulfillment of school equipment, materials, and supplies. The Fulfillment Coordinator will be responsible for creating and deploying clear, quality communications delivering key information to the school community about fulfillment activities. The Fulfillment Coordinator is responsible for the successful completion of the following tasks:
  • Liaison with stakeholders, logistics providers, and administration on fulfillment activities to ensure timely and accurate fulfillment of school equipment, materials, and supplies.
  • Assist in deployment planning and fulfillment process for school equipment, materials, and supplies.
  • Engage with school logistics vendors and suppliers regarding inventory levels of equipment, materials, and supplies.
  • Organize and track the fulfillment of fulfillment orders and ensure order delivery.
  • Track and monitor fulfillment orders, returns, and inventory transfers; troubleshoot issues.
  • Follow up on order and shipping errors to ensure accuracy and customer satisfaction.
  • Assist with inventory control and investigate any inventory discrepancies.
  • Collaborate with other school departments to share data insights, determine current and upcoming campaigns and other material needs to ensure adequate and accurate shipment of school equipment, materials, and supplies.
  • Assist in auditing internal and external fulfillment activities.
  • Identify trends, key issues, and successes through data analysis and stakeholder feedback.
  • Maintain collaborative vendor relationships.
  • Respond promptly and professionally to stakeholder inquiries.
  • Provide prompt, clear, and professional communication to all stakeholders regarding fulfillment services and activities.
  • Develop clear, audience-aligned communications about the fulfillment activities to all stakeholders.
  • Assist with resolving stakeholder fulfillment issues.
  • Create and maintain reports aimed at tracking inventory and fulfillment activities.
  • Provide customer service regarding shipment/delivery, returns, credit, order status, corrections, and other customer concerns.
  • Provide status reports depending on stakeholder requirements.
  • Adhere to fulfillment processes, implementing protocols, and reporting requirements.
  • Manage vendor relations, inventory, and order fulfillment to implement large-scale mailings of school equipment, materials, and supplies.
  • Develop a deep understanding of the school’s fulfillment system.
  • Identify ways to improve the school’s fulfillment standards, procedures, and operational efficiencies.
Education/Qualifications
  • Minimum Education/Certification:
    • High School diploma or equivalent; Associate’s degree from an accredited college or university in business or logistics field preferred
    • Possess all PDE required clearances for school-based personnel.
  • Experience Requirements:
    • Three (3) or more years of experience in a customer service role, or related experience in an educational or nonprofit setting.
    • Minimum one (1) year of experience with order fulfillment and/or logistics.
Knowledge / Skills / Abilities
  • Understand logistics and order fulfillment processes.
  • Ability to work in a fast-paced environment.
  • Ability to multitask and prioritize daily workload.
  • Demonstrated experience creating templates, troubleshooting user and system errors.
  • Proven experience responding to a high volume of email inquiries.
  • Ability to manage vendor relationships.
  • Knowledgeable in developing and implementing tracking systems and metric reporting.
  • High level verbal and written communications skills.
  • Ability to review, analyze and understand assignments, processes, and deadlines.
  • Strong knowledge of Microsoft applications (Word, Excel, PowerPoint, Outlook).
