Profile Summary:

The Intake Supervisor will supervise their intake team in all activities related to the processing of new referrals and refill prescriptions, per Intake Representative’s job description. They will be responsible for fostering the relationship between doctors, patients, insurance, and the pharmacy. They will have a comprehensive knowledge of the specialty prescription life cycle and the intake team’s role in the cycle. Ideal background is someone 

Key Accountabilities:

  1. Oversee and support your dedicated intake team members throughout the prescription life cycle.
  2. Validate information on new patients: demographics, prescription, benefit verification (MM vs PB) and assign to intake team member
  3. Audit the intake team’s workflow per intake representative’s job description
  4. Communicate with Operations Manager/PIC regarding referral and prescription status
  5. Communicate with Pre Authorization team supervisor about Pre authorization status
  6. Responsible for keeping staff current with payer requirements and RE Pharmacy policy and procedures related to the intake process and software functions.
  7. Understands and adheres to all applicable company policies and state and federal regulations and ensures Intake staff adherence.
  8. Work weekly with other intake supervisors to ensure consistent adherence to processes and procedures
  9. Identify inefficient processes and monitor workload of staff, making recommendations to the Operations Manager/PIC
  10. Participate in and coordinate training for all new intake staff, review and approve timecards, assist with performance reviews and quarterly goals assessment.
  11. Develop comprehensive training program for intake teams in coordination with other intake supervisors
  12. Communicate clearly and professionally, both in written form and orally, with internal and external customers
  13. Follow up with patient and doctor reviews both by social media and survey

Division/Team Specific Accountabilities:

  • Review reports daily to identify patient accounts that are untouched for 48 hours
  • Randomly review your team’s patient files for accuracy and expediency
  • Provide additional training to team for uncovered weaknesses
  • Randomly observe team members in all aspects of their duties
  • Meet with Operations Manager/PIC and align goals weekly

Education:

  • Required: High School Diploma/GED or equivalent
  • Preferred: Associate’s degree or some college

Experience:

  • 4 or more years prior Pharmacy or experience.
  • 3 or more years prior experience with Specialty or Infusion Pharmacy medications. (preferred)
  • Minimum of three (3) years experience collecting referral information in the healthcare market (required)

Technical/Specialized Knowledge, Skills, & Abilities:

  • Working knowledge of Managed Care, Commercial Insurance, Medicare and Medical insurance
  • Working knowledge of Specialty Pharmacy laws and regulations
  • Proficient with Microsoft Office Suite or related software

Compensation:

  • DOE: $27-$30

Actual base pay could vary based on factors including but not limited to experience, subject matter expertise, geographic location where work will be performed, and the applicant's skill set. The base pay is just one component of the total compensation package for employees. Other rewards may include an annual cash bonus and a comprehensive benefits package.
