Responsibilities

  • Greet and welcome office guests with a positive attitude, ensuring a friendly and professional atmosphere.
  • Effectively communicate the value proposition of the office to potential associates, highlighting the benefits of joining our team.
  • Engage agents and staff daily, fostering a service-oriented environment and promoting positive relationships.
  • Encourage agent participation in agent development programs, helping them enhance their skills and succeed in their careers.
  • Be accessible to agents daily, offering business, sales, and career advice as needed.
  • Stay updated on agent issues and promptly seek out appropriate solutions to ensure a seamless and hassle-free experience for newly joined associates.
  • Improve communication between staff members to facilitate a smooth transition for newly joined associates.
  • Answer incoming phone calls promptly and courteously, providing assistance or directing calls to the appropriate individuals.
  • Coordinate conference room usage as required, ensuring smooth operations and efficient scheduling.
  • Maintain cleanliness and presentation of reception/conference areas, coffee/lunch area, and common workspaces.
  • Ensure office supplies and relevant materials are stocked in common areas and workspaces.
  • Coordinate lunchtimes with other staff members to ensure coverage at the front desk at all times.
  • Handle incoming and outgoing mail, including postmarking and sending outgoing mail daily.
  • Monitor and respond to office emails in a timely manner, distributing messages as necessary.
  • Inform agents promptly of incoming mail, checks, and agent contracts.
  • Create and send special occasion agent cards to celebrate birthdays, achievements, and offer support in times of need.
  • Input agents into the office phone system, create office mailboxes, and set up copiers within 8 hours of joining.
  • Remove departing agents from the office phone system, office mailboxes, and copiers within 24 hours of their departure.
  • Regularly clean out agent mailboxes, vendor information, and flyers to maintain an organized workspace.
  • Generate daily all-call and reminder emails/texts to keep agents informed and engaged.
  • Maintain duty schedule and open house board weekly to ensure smooth operations.
  • Troubleshoot and resolve issues with office equipment and phone systems promptly.
  • Act as the office liaison to title, mortgage, inspection, and home warranty companies.
  • Manage office supplies inventory and submit orders to the Director of Finance on a weekly basis.
  • Maintain the company store, fulfilling agent orders and submitting them to the Director of Finance for billing.
  • Ensure copiers and printers are stocked with paper at all times.
  • Generate one-day codes for agents as requested.
  • Manage lockbox inventory and disburse event tickets to agents and staff as earned.
  • Maintain an up-to-date office roster and phone list for easy communication.
Qualifications
  • Excellent interpersonal skills, organizational skills, customer service skills, and verbal communication skills
  • Exhibits working knowledge of Microsoft Office and basic computer skills
  • Comfortable taking telephone calls and mitigating stressful situations
  • High school graduate, G.E.D. recipient, or equivalent
  • 1 year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred

  • Commitment to improving communication among staff members to ensure seamless transitions for newly joined associates.
Compensation
$35,000 - $45,000 yearly
