Who we are looking for

We are looking for a highly motivated individual to provide support for the company's Operations, Marketing, Finance and Human Resources activities. This position will provide administrative support to the management team, interact with clients, organize employee events, and assist with the company's brand strategy. Join our creative, dedicated, and fun-loving team. The ideal candidate will be comfortable adapting to a dynamic role and seeks to grow their skills and responsibilities within the organization.

What you'll get to do

  • Communicate with people outside the organization, representing the organization to customers, the public, vendors, clients and other external sources.
  • Administrative duties such as greeting clients, sorting/distributing mail, monitoring/responding to general email and phone inquiries, and performing general errands. 
  • Maintain office supplies by establishing a list of needed items, managing costs, tracking inventory for both locations, and ensuring adequate stock is always available.
  • Make travel, meeting, and other arrangements for staff, including hospitality needs for onsite customer visits.
  • Support on and off-site meetings and coordinate employee events.
  • Assist in the creation and proofreading of marketing collateral. 
  • Work directly with departments to effectively communicate necessary employee matters. Assist with special projects.
  • Aide in the development and coordination of community relations and educational initiatives.
  • Oversee building and facilities management acting as the point of contact and ensuing that service agreements are appropriate for all necessary items. Coordinate preventative maintenance as needed.
  • Assist colleagues with other administrative tasks that pop up throughout the day!

What you bring to the team

At least 3 years of confirmed experience as an office administrator, executive assistant or relevant role who leads with professionalism by example and has a high sense of urgency. You will have an advantage in this role if you have familiarity with office management procedures, along with demonstrated skill in Microsoft applications! Prior experience in design or consulting services is a plus.
