Assistant Director of Communications and Community Relations

Purpose Statement

The job of Assistant Director of Communications and Community Relations is done for the purpose/s of offering general support in the Communications/Community Relations/Public information office to assist the Chief Communications Officer. This role would include assisting in the management of Raytown
Community Education and volunteer services and providing professional leadership in communications with external audiences as well as internal staff.

This job reports to Chief Communications Officer

Essential Functions

Assists the Chief Communications Officer with monthly Board meetings for the purpose of informing the Board of student achievement and publicly recognizing these students.

Assists in coordinating, scheduling and advertising Community Education classes for the purpose of helping the program be successful.

Facilitates district and community meetings for the purpose of identifying issues, developing recommendations, supporting other staff, and serving as a District representative.

Manages a variety of communication programs (e.g. Parent Link Instant Messaging System,
Recognition events, etc.) for the purpose of providing a centralized communication resource for the district and community.

Oversees assigned program responsibilities (e.g. district website information, print and electronic media relations, marketing materials, newsletters, videos, graphics, still images, etc.) for the purpose of achieving district objectives, and ensuring compliance with legal and financial requirements.

Participates in meetings (e.g. professional associations, community events, workshops, seminars, conferences, etc.) for the purpose of conveying and gathering information regarding a wide variety of subjects.

Performs personnel functions (e.g. interviewing, evaluating, training, supervising, etc.) for the purpose of maintaining adequate staffing, enhancing productivity of personnel and achieving objectives within budget.

Prepares a wide variety of complex documents and written or electronic materials (e.g. press releases, Community Education brochures, newsletters, presentations, administrative reports, Bond and Levy information, emergency crisis response, etc.) for the purpose of documenting activities and issues, conveying information, meeting compliance requirements, and/or providing supporting materials.

Responds to issues and inquiries from district administrators, teachers and staff regarding the development, implementation and evaluation of communication programs for the purpose of identifying the relevant issues and recommending or implementing a plan of action that efficiently resolves the issues.

Serves as a liaison between the district and media representatives, community organizations and the public for the purpose of conveying information, publicizing events, and enhancing the relationship of the district and the community.

Work on mornings, nights and weekends as needed for the purpose of covering District events.

Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities

SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: able to utilize layout and design programs; design and create web pages; operating standard office equipment including utilizing pertinent software applications; planning and managing multiple projects; developing and administering budgets; public speaking skills; excellent written and oral communication skills; event planning and organization skills; and developing effective working relationships.

KNOWLEDGE is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: K-12 educational system; photography and photo editing; audio production and editing; concepts of conflict resolution; pertinent codes, policies, regulations and/or laws; current and developing technology; and press and media standards.

ABILITY is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with a variety of data; and utilize a variety of job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is moderate to significant. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; meeting deadlines and schedules; setting priorities; working as part of a team; being flexible to changing conditions; making quick and accurate decisions; dealing with frequent interruptions and changing priorities; maintaining confidentiality; and facilitating communication between persons with frequently divergent positions.

Responsibility

Responsibilities include: working under limited supervision using standardized practices and/or methods; directing other persons within a small work unit; monitoring budget expenditures. Utilization of resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the organization’s services.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 35% sitting,
30% walking, and 35% standing. This job is performed in a generally clean and healthy environment.

Experience: Job related experience with increasing levels of responsibility is required.

Education: Bachelors degree in job-related area.
