About the Opportunity
Rapid Finance is seeking a knowledgeable and well-organized Benefit Specialist . The right individual will have strong interpersonal, communication, and administrative service skills to provide high-level support to the HR function. You will actively participate in the daily management of Benefits Administration, Wellness, and HRIS processes. You will become a trusted advisor by walking the floors, getting to know the team members and developing strong relationships as you interact with all levels.
This position reports to our Corporate Office in Bethesda, MD, and will be a hybrid position (onsite 3 days a week) starting in April 2024.
A day in the life of the Benefit Specialist includes, but not limited to:
  • Responding to team member and management HR-related inquiries regarding benefits enrollment, company policies, and HRIS assistance through ADP WorkforceNow.
  • Owning the employee benefits programs to include medical, dental, vision, Flexible Spending Accounts (FSA), Health Reimbursement Accounts (HRA), Section 125 cafeteria plans, short and long-term disability, wellness, and 401(k) retirement plans.
  • Monitoring the HRIS, responding to inquiries with a sense of urgency when possible, and escalating others for research/review to the appropriate departments both internally and externally.
  • Updating and maintaining highly confidential team member records and HR data, conducting audits of benefit programs for accuracy and compliance.
  • Exercises decision-making and analysis of various conditions and circumstances affecting eligibility, continuation of benefits, and tracking of leave and premium payments for employees meeting FMLA and other leave eligibility requirements.
  • Liaison with outside vendors and business partners, specifically those related to benefit programs. Deal with insurance carriers and gain a thorough understanding of the benefits available to all team members.
  • Collaborating with the Payroll Manager to ensure all benefit payroll deductions are imputed correctly into the HRIS system for accurate recordkeeping. Responding to information requests from other teams by researching issues and pulling reports from ADP as needed.
  • Compile data for compliance audits - workers' compensation insurance, ACA, EEO, Cafeteria plan 125, and other annual reports concerning pay and benefits, as necessary.
  • Serve as liaison with the 401K administrator and other benefits vendor(s).
  • Advanced proficiency with Microsoft Office applications (Excel, Word, and PowerPoint).
  • Demonstrated ability to create and deliver presentations to all levels of employees.
  • Researches, analyzes and resolves complex benefits issues involving eligibility, enrollment, and claims.
  • Collaborate with third-party benefit vendors, to review, analyze, and assist with timely responses relating to claims and provider network inquiries and issues, customer service quality, invoice/billings, reporting, and audits.
  • Analyzes data to ensure the accuracy of benefits for eligibility, enrollment, and reconciliation processes.
  • Monitor electronic file transmissions and carrier feeds to vendors, which include connection setup, validating, and auditing files.
  • Reviews, validates, and reconciles payroll benefit deductions, and vendor billing/invoices and resolves discrepancies.
  • Responds to unemployment claims and assists in protest hearings for ineligible claimants.
  • Develops and maintains the Benefits Administrator's Procedural Manual and all standard operating procedures (SOPs) for assigned and specific benefit programs.
  • Ensures timely action of benefit transactions to limit liability, risk, and financial obligations of the company. This includes collection of late payments, employee premium deficiencies, etc.
  • Coordinate with leaders and Legal on evaluation of the need for potential accommodations (specifically LOA and ADA cases).
About You
  • Bachelor's Degree in Human Resource Management or comparable degree
  • Minimum of three (3) years of recent benefits administration, human resources, financial services, or related experience, two (2) years of which shall have been at a specialist level providing benefits administration.
  • You must have experience using ADP WorkforceNow. Use of other HRIS system technology and data compilation, analysis, and reporting will be necessary.
  • Must have good time management skills, be capable of multi-tasking across activities, and be able to plan workload to accomplish tasks.
  • You have a "go-getter" mentality; and must be detail-oriented, making sure that all aspects of daily activities are handled with accuracy and minimal mistakes.
  • You understand the importance of maintaining the confidentiality of proprietary information.
  • You speak with others using clear and professional language; prepare and review written documents accurately and completely while responding to team members' inquiries regarding benefit options.
  • You are an extremely perceptive person who is capable of relating to individuals at all levels within the organization while being sensitive to business needs.
  • You have advanced level skills with MS Office and Adobe products - comfortable maintaining spreadsheets, and PowerPoint presentations, creating reports, preparing org charts, and drafting/editing correspondence with a high level of attention to detail.
  • Demonstrated success in correspondence with a high level of attention to detail.
  • Demonstrated success in developing and managing budgets
  • Proficient in the use of remote work solutions (e.g., video conference platforms such as Skype, Zoom, MS Teams) to support team members.
  • Strong customer service, analytical, and reconciliation skills.
  • Knowledge of the theory, procedures, and practices of benefits administration in addition to policies and regulations and local, state, and federal laws that relate to the benefits office.
