Randolph Public School District is Hiring an Administrative Assistant for Special Education ( LTS) Near Randolph, MA

Title: Administrative Assistant Office of Special Education and Student Services - Long Term SubThis is a long term substitute position starting immediately with an approximate end date of May 17, 2024.The role of the Administrative Assistant is to enhance the departments effectiveness by providing information management support; communicating with parents and/or guardians; supporting Special Education teachers, liaisons, related service providers and other administrators and administrative assistants in accessing information, data, supplies and other resources; supporting the successful operations of a department designed to provide access to an equitable education for Special Education students.Job Duties: Communicates with a diverse population of students, families and departmental staff as well as teachers, administrators, and other administrative assistants by greeting them, in person or on the telephone; answering or directing inquiries. Updates and maintains the districts Special Education software database. Uploads, oversees and maintains the districts IEP translation documents Responsible for compliance with two schools IEP documentation including but not limited to: timely mailing and filing of 1) IEP consents. 2) general student records, 3) IEP overall documentation including progress reports, meeting notices, invitations, progress reports, and 4) checking of every IEP paperwork in alignment with districts expectations on IEP writing Serves as the districts tutoring and compensatory education coordinator.
Coordinates all aspects of tutoring services and compensatory education. Updates and maintains the districts SIMS reporting system and all End of The Year reporting for students on IEPs. Stays informed of all legal and compliance related issues related to the innovative changes of the new IEP format that affect the operation of the department and acts accordingly Maintains and protects operations by keeping district and student information confidential. Produces information by transcribing, formatting, inputting, editing, copying, and transmitting text, data and graphics.
Prepares reports and data by collecting and analyzing information in a timely manner, as requested by Assistant Princpals, staff, district leaders, etc. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. Conserves Supervisors time by reading, researching, and routing correspondence; drafting letters, fliers, brochures, databases and documents; collecting and analyzing information; initiating and following through on communications. At times, maintains Supervisors appointment schedule by planning and scheduling meetings, conferences, projects and events.
At times, assists the department to coordinate events and meetings. Maintains office files and IEP files accordingly and neatly by going through the main file system on a regular basis; placing and filing documents in a timely and organized manner; verifying receipt of documents Contributes to team effort by accomplishing related results as needed.Up to 35 hours per weekSalary rate based on relevant experience
