Essential Functions:
· Schedule patients for IR procedures at multiple facilities with multiple providers
o Contact patients, Doctor’s office, insurance company, Third Party Administrator demographics, in order to have complete, accurate, compliant patient records.
o Establish positive relationships with hospital staff, referring physician’s offices and drug reps.
o Ensure a written order is received with specific information, along with a current H&P and labs and imaging.
o Verify insurance coverage, as well as obtain a precertification/predetermination for the office visit/procedure and PCP/Insurance Referrals, as required.
o Confirm the appointment one day prior to clinic appointment to keep the schedule running smoothly.
o Act as liaison between referring doctor’s office and patient by handling all questions or concerns prior to the procedure to maximize the physician’s time to be maximized for procedures.
o Ability to resolve scheduling conflicts and ease patient concerns.
o Handle all necessary paperwork for same day add-ons.
o Ensure that areas/resources of hospital are available at time of service, without conflicts.
o Obtain for prior imaging, from outside facilities, to be available prior to scheduling the procedure. Upload CD of images into our Imaging program.
o Ensure patient registration forms are properly filled out and uploaded into the EMR
o Review faxed referrals daily. Create new charts and upload documents into the EMR.
o Gather documentation for billing to include superbill, patient registration forms, and financial policy form, clinic notes and payment receipts. Ensure accuracy of coding and superbill detail. Submit to billing office weekly.
o Collect copays and coinsurance payment. Record payments on billing spreadsheet and submit to financial office, along with cash payments.
o Maintain procedure, billing, preauthorization and imaging request spreadsheets.
o Maintains safe, secure, and healthy work environment by establishing and following standards and procedures and complying with legal regulations.
o Serves and protects the practice by adhering to professional standards, facility policies and procedures, and federal, state and local requirements.
o Make recommendations and implement processes to improve work flow.
o Maintain Emergency Action Plan
o Maintain MSDS (Material Safety Data Sheets)
o Attend and actively participate in team meetings, as needed.
o Regular and timely attendance required.
Patient Care
o Define problems, collect data, establish facts, and draw valid conclusions.
o Act as contact person to Triage outpatient phone calls for the Interventional Radiology and OBL patients.
o Confirm patient care instructions with patient 1-2 days prior to outpatient procedure.
o Able to comfort patient and address their concerns.
o Provide a high level of customer service to patients, physicians, physician assistants, and representatives of insurance plans, third party administrators, payors and referring physician’s offices.
o Ability to manage multiple priorities and support group, department and company’s goals.
o Obtain updated patient health history, demographics, known allergies, medications and conditions and vitals.
o Prepare treatment rooms for patient examinations, keeping the rooms neat and clean.
o Show patients to the examination rooms and prepare them for the physician or physician assistant.
o Collect blood specimens and process to ensure labs are available on day of the procedure.
o Review and witness hospital consent forms.
o Prepare information folders to include procedure information, pre-op and post op instructions and facility map. Ensure that patient has received specific prep instructions, along with time of procedure, what to expect the day of the procedure, and where to check in.
o Ensure appropriate follow up via phone calls and/or clinic visits. Arrange follow up imaging per protocols.
o Calling in prescription refills, as needed and ordered by provider.
o Review lab results and highlight abnormal results for provider to address.
o Maintaining and ordering medical and office supplies.
o Sanitizing and preparing exam rooms between each patient.
o Ensure clinic is free from safety hazards to prevent accidental falls and other injuries to staff and patients.
· Support department and company goals
o Make recommendation and/or suggestions to improve procedures
o Provide assistance to department as needed on special projects
o Ensure equipment is in good working order
Qualifications:
Education:
o High School graduate or GED.
Experience:
o 3-5 years medical office experience in a high volume, fast paced environment.
o EMR experience and familiar with Microsoft Office.
o Previous experience in specific medical field preferred.
Skills/Knowledge:
o Excellent verbal and written communication skills.
o Solid mathematical skills.
o Strong medical terminology knowledge.
o Critical thinking skills – ability to prioritize/triage and problem solve.
o Stress management.
o Blood borne Pathogen protocols/OSHA requirements.

o Ability to maintain patient privacy and adhere to HIPPA guidelines.
o Knowledge of CPT and ICD-10 coding.
o Knowledge of insurance and billing policies and procedures.
o Be a strong team player, with the ability to interact successfully with multiple people and personalities.
o Detail oriented.
