Job Summary:

We are seeking a dynamic and versatile individual to join our team as a Client Experience and Operations Coordinator. This role is pivotal in ensuring exceptional client satisfaction through personalized service and efficient operations management. The ideal candidate will possess outstanding people skills, creativity, and the ability to thrive in a fast-paced, ever-changing environment.

In addition to our weekly office responsibilities, you must also be able to work on occasional weekends for events. Our events usually range from 4-8 hours and are off site. During events, you are setting up displays, interacting with guests and making sure everything is running smoothly.

Key Responsibilities:

  • Client Interaction: Engage with clients on a daily basis to understand their custom needs, provide design consultation, and ensure their orders meet their expectations. Maintain professional and friendly communication throughout the process.
  • Candidates must demonstrate the ability to maintain professionalism and respect towards clients, even in situations where they may exhibit rudeness or hostility.
  • Event Support: Assist in event setup and take orders during events, interacting and designing with guests. Create an inviting and visually appealing display to elevate clients' experience.
  • Office Management: Take ownership of maintaining a welcoming and organized office environment. This includes tasks such as keeping the workspace tidy, arranging products, and ensuring supplies are well-stocked.
  • Order Fulfillment: Gift wrap orders with care and attention to detail, ensuring accuracy and timely delivery. Additionally, fill candle pots and handle other production tasks as needed. This may include weeding heat transfer vinyl, quality checking items, color matching thread and a variety or art related tasks.
  • Creative Tasks: Undertake various creative projects, including but not limited to artwork tasks, designing mockups of custom items, and brainstorming new product ideas.
  • Inventory Management: Keep track of inventory when new orders arrive, conduct regular counts, and coordinate with suppliers to source merchandise as needed.

Qualifications:

  • Excellent interpersonal and communication skills, with the ability to interact professionally and kindly with clients and colleagues.
  • Events are fast paced, you must be able to work well under pressure while keeping a smile on your face.
  • Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
  • Creativity and an eye for design, with the ability to assist clients in bringing their visions to life.
  • Adaptability and the ability to thrive in a role where tasks may vary from day to day.
  • Proficiency in basic office software and the ability to quickly learn new tools and systems.
  • Be able to be in our Brentwood office Monday - Friday 9:00am-5:00pm
  • Due to the fact that we are an event company, you must be available on occasional weekends
  • Reliable transportation for running errands, picking up products and events.

Preferred Qualifications:

  • Previous experience in customer service, sales, or event coordination.
  • Ability to work with VIP clients while respecting their privacy
  • Must be reliable, if you commit to an event, you must keep your word and stay committed to reliability
  • Must be energetic, a go-getter and able to think quickly!

Working Conditions:

This role involves a combination of office work, event support, and working directly with clients. The candidate should be comfortable standing for extended periods during events and lifting moderately heavy objects.
