Job Description
The Front Desk Receptionist is responsible for providing a friendly, welcoming and efficient service to all Owners and their guests, in line with the R-Ranch in the Mountains® vision and values on customer satisfaction. The main purposes of the front office area’s staff are to respond courteously to Owners’ requests, play a part in the general running of the front office and help the Front Desk Manager maintain day-to-day operations.
Essential Duties
· Provides customer service to ranch owners, their guests, vendors, and contractors.
· Makes accommodation reservations collecting deposits; Check owners and guests in and
out; takes and accounts for any payments; completes store sales; updates gate access
cards; follows and administers Ranch policy and guidelines.
· May alter, change, and cancel reservations as well as take reservations requests.
· Promptly answers the phones, directs calls to the appropriate office or takes proper
action to answer questions or resolves issues to completion.
· Completes all transactions and settles the cash register at the end of shift.
· Maintains and stocks current forms, fliers, brochures, etc. needed for the front office and
may be asked to design signs, forms or fliers for the front office and other departments.
· Takes maintenance work order requests and RV move requests collecting all necessary
fees.
· May be asked to inspect owner’s golf carts for policy compliance, issuing current year
decals.
· Inspects Coggins reports for horses being brought to the ranch by owners.
· Ensure that all owners accessing the ranch are current with their Ranch account.
· Issues equipment and logs when owners use the activity center, theater room, any sports
equipment provided by the Ranch, or uses the RV storage key.
· Communicates issues with the appropriate department manager and attempts to resolve
issues which may develop during weekends or after normal office hours.
· Completes or assists in completing Incident Report Forms for any reported injury or
accident on the ranch grounds; includes names, dates, time, conditions, as well as any
witnesses and contact information; may request First Responders (911) if appropriate.
· Enter any new demographic information into the reservation system.
· Controls access to the ranch grounds requiring use of currently active gate cards and
following signing in by owners and their guests.
· Helps keep a complete and well-organized inventory of cabin and equipment keys.
· Maintains a thorough knowledge of current ranch policies and procedures; helps
communicate any recent changes to all ranch owners or guests that come to the
property.
· Help keep track of owner visits regarding the 14 or 21-day rules limiting owner and
guests stay on the property.
· Other duties assigned by the Front Desk Manager or Executive Director

Education and Experience
· High School diploma
· Basic computer skills
· Excellent Interpersonal skills
· Customer service experience preferred
· Cash management

· Must be able to pass background and drug test
· Must have open availability; weekends and holidays required
Physical Requirements
· Required use of hands to type, handle or feel and reach with hands and arms
· May be required to stoop, kneel, crouch
· May occasionally be required to stand, walk, climb or balance
· Light work – exerting up to 25 pounds of force occasionally and/or up to 15 pounds of
force frequently or constantly to lift, carry, push,pull, or otherwise move objects.
· Vision requirements include color vision, the ability to adjust focus and close vision
· Must be able to speak and hear.
