EVENT COORDINATOR

Reports to: Event Manager

Hours: Full time, Year round

Function: Responsible for event operations and logistics in coordination with the entire event team.

Responsibilities:

Client Care

  • Is a key representative of Quonquont Farm to event clients.
  • Communicates with potential clients to provide them with the necessary information and tours to book an event
  • Communicates with current clients to gather and execute details regarding their event.
  • Ensures that every event guest is the center of celebration

Event Management and Logistics

  • Executes a detailed outline of event needs, including setting up the event space according to client wishes.
  • Manages and oversees events, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors.
  • Acts as a point person and troubleshooter for staff and guests during events.
  • Breaks down and cleans the event space once the event has drawn to a close, readying it for future events.

Business Development & Vendor Relationships

  • Assists with event space marketing, including print, online, and social media, integrating as needed with orchard and flowers.
  • Works with farm staff to schedule and execute farm-based events.
  • Works with vendors, including event rental suppliers.
  • Conducts inventory and purchases supplies, in coordination with the event manager.
  • Accepts and organizes deliveries.

Special Bar-Related Duties

  • Helps keep the bar menu up-to-date and on-trend.
  • Communicates bar lay-out to staff.
  • Communicates bar ordering needs for upcoming events (i.e., glassware, etc.).

Staff Supervision

  • Works in conjunction with the event team to staff appropriately for all events.
  • Helps to hire, train, schedule, and coach event staff, providing ongoing feedbackand guidance, and delegating and directing work.
  • Helps to develop staff skills related to the advancement of Quonquont and ourmission.

Buildings, Grounds, and Equipment

  • Helps to maintain all event equipment and vehicles.
  • Under the direction of the event manager, seeks repair or replacement for eventequipment and vehicles.
  • Trains other Quonquont employees in the safe operation of event equipmentand vehicles.
  • Ensures that all event buildings are kept neat and orderly, inside and out.
  • Notifies owners or manager of necessary repairs.

Financial Oversight

  • Helps to develop strategies to make Quonquont a profitable enterprise.
  • Reports all expenses to the owners in a timely and thorough manner.
  • Opens, closes, and balances event cash drawers each business day.

Other Responsibilities:

  • Reports regularly to the event manager.
  • Assures the safety of the Quonquont workplace and monitors safety for staff and guests.
  • Assures regulatory compliance for the event business.
  • Complies with Quonquont personnel policies.
  • Represents Quonquont Farm in a professional and courteous manner at all times.
  • Provides quality service to all customers and visitors.
  • Attends and participates in appropriate meetings.
  • Performs other duties as assigned.

Position Requirements: Education:

  • High school diploma or equivalent. Experience:
  • At least 2 years managing and planning events.

  • Must be able to see the event business in its relationship to the business as a whole and the larger community
  • Must have strong analytical ability to make sound decisions.
  • Must be at least 18 years of age.

Mental, Physical, and Communication Demands:

  • Must be available to work when and where needed by the business. Must be willing to work irregular hours, weekends, and holidays.
  • Requires reliable attendance.
  • Must be self-motivated.
  • Requires working under pressure with a public audience.
  • Requires standing for up to six hours without break.
  • Requires computer proficiency in word processing, spreadsheets, and email.
  • Requires interacting with people in a pleasant, courteous, and professional manner.
  • While performing this job, the employee will regularly be required to use hands and arms to reach and grasp to hold products, supplies, and tools; to talk and speak clearly to customers and co-workers; and to hear questions.
  • This job requires a great deal of standing, walking, kneeling, bending, crouching, and general mobility throughout the day. It includes the ability to lift, carry, and push items weighing up to 40 pounds regularly throughout the workday.

Job Type: Full-time

Pay: From $24.00 per hour

Expected hours: 40 per week
