Duties/Responsibilities:

  • Answer all incoming calls and respond to emails in a professional way.
  • Provides administrative support to project managers and staff such as creating and maintaining job folders, data entry, typing, copying and other administrative tasks for projects as requested.
  • Processing / cross checking incoming invoices as needed.
  • Assist in processing paper & digital permit applications for submittal.
  • Proofreads and checks typed and other materials for accuracy, completeness, and compliance with standards, policies, and procedures.
  • Maintains bidder and contractor databases.
  • Manage credit card statements and expense reporting.
  • Assist in preparation of contracts, change orders, purchase orders, service agreements and subcontract agreements.
  • Assists project staff by preparing and/or typing memoranda, correspondence, and other technical documents using word, excel or database software and monitors progress and approvals, generates reports and develops materials for meetings.
  • Assist with business development proposal preparation and presentations, as requested.
  • Assists support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
  • Oversees telephone services, email correspondence, and mail distribution for the Orlando office.
  • Directs office activities and functions to maintain efficiency and compliance with company policies.
  • Maintains office supplies inventory.
  • Performs other related duties as assigned.
