Job Description:
Madison Trust Company is actively seeking a Marketing Specialist (Coordination Role) to join our growing team. The ideal candidate has a can-do attitude, can juggle many responsibilities at once, and is detail-oriented and creative.Responsibilities:

  • Webinars Coordination
    • Coordinating Internally or with outside Investment Sponsors to set the date and get the deliverables to create promotional materials and zoom event for webinar to then share with Web Developer and Marketing Specialist (Social Media)
    • Create and send promotional Email Blasts
    • Help set up media room for the hosts of the webinar and start and moderate webinar.
    • Run tech tests beforehand to ensure that technology is working properly
  • Events Support – travel in the United States is required for this role.
    • Coordinate with people running the event to go over all the details (how many attendees, flow of traffic, booth details, set up, break down etc., shipping info).
    • Ensure all flyers have QR codes specific to this event and create any additional one-off flyers/ brochures that may be needed.
    • Work with outside vendors or Staples to get everything printed.
    • Plan out promotional items to order/bring - make sure we have enough in stock or order more. (Or come up with new promo items based on the needs of the event).
    • Pack up banners and other booth items and have them shipped out to the event.
    • Pack event suitcase with other things that need to go to the event including bringing (ipad, chargers, tablecloths, scissors, Return labels and tape for after the event)
    • Create logistics doc with a simplified version of the schedule to share with the sponsors team. (include hotel checkout, set up time, exhibit hall hours etc.)
    • Make sure flights and rooms get booked (*Rooms make sure we make the room block if possible)
    • Meet with Sponsors Team to review all the info I received about the event and go over Logistics doc and any other important info to ensure a successful event.
    • Attend the event- help set up booth, keep booth stocked, and fill in where needed including talking to people if the sponsor team is busy.
    • Post Event Follow up- Create/send Postcards or Email Blasts
  • Research relevant events and present to Marketing and Investments Managers (pricing, where the event is, details of sponsorship, etc.)
  • Tracking/Marketing Metrics
    • Update Webinar Metrics After Each Webinar
    • Create Monthly Organic Data Report
    • Update Event Spending Tracker (to figure out cost-per-lead and cost-per-sale)
  • ActiveCampaign/Drip Campaign Coordination/Management
    • Schedule meetings, work with outside consultants (freelance writer, ActiveCampaign consultant, Fiverr designer) as well as internal team members to get email drip campaigns created/designed/implemented
    • Work with internal development team/ActiveCampaign consultant to monitor issues/bugs and coordinate with them to fix as-needed
  • As Needed:
    • Refer A Friend Postcards & Statement Inserts (Work with different vendors to get them printed and mailed out on time) Also may update some design elements in house so will do that as well if needed.
    • PR Research/Other Sponsorships (ex. Forbes Placements/Articles, Golf Outings, etc.)
    • Work on Powerpoint Presentations, PDFs and other resources as needed
Job Requirements:
  • A proactive and positive attitude
  • Experience with coordination, preferably within marketing
  • Excellent organizational skills, with the ability to multitask and manage multiple projects simultaneously.
  • Strong communication skills and a team-oriented mindset.
  • A professional demeanor, both in person and in all forms of communication.
