The Opportunity 

The Assistant Director of Donor Services, Fund Stewardship provides holistic support for the setup, administration and stewardship of philanthropic funds at the PSU Foundation (PSUF). The Assistant Director tracks and communicates expectations around timely and proper fund utilization and impact reporting with university partners and sees related reporting processes through to donor delivery. 

As a member of the Donor Services team, this position supports a positive and cohesive giving experience for donors to PSUF. This position requires the ability to effectively manage multiple tasks and meet concurrent deadlines, with a strong emphasis on project management, quality control, and excellence in both written and verbal communications with internal and external stakeholders.

Duties & Responsibilities

  • Support the management of PSUF’s restricted funds by monitoring active and inactive accounts and facilitating fund setup, transfers and closure in support of spending efforts.
  • Lead special projects and problem-solve issues related to fund use, spending restrictions or limitations, fund sustainability, and compliance.
  • Liaise with university partners who are responsible for expending philanthropic funds and provide support for understanding foundation policies, fund use restrictions, and spending and reporting expectations.
  • Manage consistent intake, tracking, reminder and review processes for centralized fund use and impact reporting from fund beneficiaries (e.g., students, faculty). Review, proof, edit and distill information for external delivery.
  • Manage fund designations in CRM, including: creating, updating, and maintaining data fields for fund use descriptions, internal and external reporting, and fund stewardship.
  • Provide support for drafting, routing & tracking closure of fund-related agreements and maintain current governance documentation for foundation-managed funds.
  • Provide support for comprehensive donor impact reporting, stewardship events and general efforts to build a more cohesive and connected culture of philanthropy amongst donors, students, faculty/staff.
  • Review donor correspondence and communicate with donors as needed; especially in regards to fund utilization, spending challenges or expectations, and other fund stewardship questions and issues that arise.
  • Work with a diverse group that includes donors and high-level internal employees on problem resolution for fund administration & stewardship.
  • Uphold organizational privacy policies, especially those related to the sharing of student and/or donor information.
  • Performs additional duties as assigned.

 Education & Experience Requirements

  • Bachelor’s degree or a combination of equivalent education, experience or certifications.
  • At least three years of work experience with utilization, reporting and/or stewardship of donor funds.
  • At least two years of experience performing general administrative support or clerical functions.
  • Demonstrated experience with donor relations or similar role prioritizing donor stewardship or customer-service.

Preferred Qualifications

  • Demonstrated experience in a non-profit fundraising environment, preferably in higher education or a comparably complex, decentralized organization.
  • Experience working in development, scholarship administration, donor stewardship, advancement services or related field.

Knowledge, Skills and Abilities Requirements

  • Working knowledge of databases, including experience with a constituent database or CRM.
  • Demonstrated ability to establish and maintain effective relationships and interactions with high-level internal and external individuals.
  • Proven experience balancing the needs of multiple stakeholders and delivering exceptional customer service in high-stress situations.
  • Excellent analytical, written and verbal communication skills.
  • Ability to understand and interpret financial data for a non-technical audience.
  • Ability to remember the nuances and fine details in order to work effectively and efficiently.
  • Ability to manage multiple deadlines and priorities simultaneously.
  • Self-motivated and require little guidance to tackle projects, tasks and priorities.
  • Understand the importance of confidentiality and know when information of the highest level requires the utmost care and discretion.
  • Absorb and process what is seen and heard quickly and communicate relevant information in a manner that is readily understood by the intended audience, including customers and team members.
  • Demonstrated computer proficiency, including experience using cloud-based suites, such as Microsoft Office, Google Applications, Adobe Sign, as well as project management software, such as Asana.
  • Ability to create and collaborate within an equitable and inclusive team environment, and to communicate effectively within the context of diverse behaviors, orientations, identities, and cultural backgrounds.

Other Essential Information

  • Department: Donor Services
  • Work Days/Hours: Full Time, 40 hours/week, Monday-Friday
  • Work Type: We currently have a hybrid work model at the PSU Foundation. This position will be required to work at least 16/24 hours/week on Portland State University campus and the remainder of the work week may be worked remotely in Oregon or Washington.

Compensation and Benefits

  • Annual Compensation: $50,000 – 57,000 (depending on experience)
