Assistant Community Manager

Job description

Summary of Responsibilities

The Assistant Manager, under the supervision of the Community Manager, is responsible for assisting the Community Manager in maintaining all aspects of property operations. The Community Manager will generally assign primary areas of responsibility (which may change over time) to ensure that the Assistant Manager receives “on the job” training concerning each aspect of operating the property. Primary responsibilities include ensuring that the community generates a satisfactory cash flow and that the property is maintained in accordance with PRP Real Estate Management’s standards and assures customer satisfaction. It is also the Assistant Manager’s responsibility to know and adhere to all federal, state, and local laws, as well as all the company policies and procedures. The expectation is that, over time, under the tutelage of a Community Manager (CM), the Assistant Manager will be prepared for and eligible to be considered for a CM position. The detailed responsibilities and requirements listed below are basic expectations, not all encompassing of the job as other duties may arise.

Essential Duties and Responsibilities include the following.

· Act as liaison between Community Manager, the community staff, and residents. Actively participate in maintaining good resident relations within the community as well as the vendors and marketing partners.

· Maintain awareness of local market conditions and trends. Assist is managing marketing needs for the community such as: updating marketing survey, review ILS partnered sites for accuracy, review competitor sites for specials and general information, review corporate site and Google for accuracy and updated specials, aid in outreach marketing, suggest and implement community events, assist in maintaining events calendar for residents, etc.

· Contribute ideas to Property -Community Manager for marketing the property and improving resident satisfaction. Aid in responding to resident/prospect surveys and reviews.

· Maintain accurate resident records. Update all rents, deposits, and application fees received by residents on a daily basis. Issue appropriate notices when necessary and in accordance with company standards. (i.e. late payment notices, eviction notices, returned check memos). Manage delinquency.

· Complete all move out procedures in a timely manner. Coordinate with maintenance to determine if damages are applicable. Ensure statement of accounts are done accurately and mailed to departing residents in a timely fashion, emails are sent to corporate relaying deposit refund requests, collection efforts are made as well as final accounts sent to collections when necessary.

· Deposit all monies prior to closing each day.

· Be aware of company goals relative to resident satisfaction and resident retention. Interface with residents to address concerns, negotiate lease renewals, and prepare preliminary account reviews for those residents on notice.

· Warmly greet prospective residents, qualify, determine needs and preferences, professionally present community and specific apartments while providing features and benefits.

· Answer incoming phone calls and handle accordingly, whether prospect call, resident issue, service request, etc.

· Accept service requests from residents and route to maintenance for prompt processing. Conduct service follow-up with residents when job is completed.

· Ensure that the office, club room, models, and “market ready” vacants are in perfect condition. Clean, vacuum, and dust when needed. Physically inspect property when on grounds, pick up litter, and report any service needs to the maintenance staff. Aid in inspecting move-outs as well as vacant apartments.

· Correctly complete all lease applications, assist with application verification, and notify prospective resident of results. Type resident communication, i.e. pest control notices, etc.

· Complete all lease paperwork, including related addendum. Accept rents and deposits. Audit lease files as well as Yardi to ensure accuracy.

· Update daily reports concerning notices to vacate, vacancy report, activity report, etc., on a daily basis and provide information to Community Manager. Organize and file all applicable reports, leases and paperwork.

· Aid Community Manager in the completion of all month-end reporting processes.

· Must complete all assigned training in a timely manner.

Qualifications / Skills – Must have one or more of the following:

· Bachelor’s degree from four-year College or University; or equivalent combination of education and experience.

· Minimum of two years Leasing/sales experience preferred.

· Minimum of two years property management experience preferred.

· Minimum of two years’ work experience in retail sales, hospitality or customer service-related position

· Must be able to multi-task, have strong organizational skills and manage time effectively.

· Must be able to work well with others as well as independently.

· Must be flexible, adaptable, and able to cope with change constructively.

· Must have strong written and verbal communication skills.

· Intermediate level computer skills, including Microsoft word, Excel, E-mail and Internet.

· Experience with Yardi, BlueMoon and rent optimizer software is preferred

· Must be able to work weekdays and some weekends.

Physical Requirements

· Ability to lift, push and pull up to 25 pounds.

· Ability to walk around the property several times daily (up 10 miles a day).

· Ability to walk on uneven surfaces.

· Ability to climb several flights of stairs several times daily.

· Hearing and visual ability to observe and detect signs of emergency required.

· Must be able to sit, stand, reach, bend, and stoop for extended periods of time.

· Ability to use standard maintenance equipment.

· Talking and expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.

· Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.

· Visual requirements including color, depth perception, and field vision.

· Ability to compare, copy, coordinate, synthesize, negotiate, communicate, and instruct.

· Ability to tolerate stressful situations.

· Ability to work under minimal to moderate supervision.

Reasoning Development

· Moderate.

· Must be able to apply principles of logical thinking to a variety of practical situations and accurately follow standardized procedures that may occasionally call for minor deviations. Must be able to think rationally beyond a specific set of instructions.

· Must be able to work at a fast pace, perform duties while under pressure, and meet deadlines in a timely manner, to interact/communicate with other associates, residents, visitors and the public in a professional and pleasant manner.

Scheduling

  • Required to maintain a regular schedule which may require working overtime, weekends and non-traditional holidays.
  • May be required to be on-call and aid during staffing deficiencies on-site.

Job Type: Full-time

Salary: $24.00 - $26.50 per hour
