The Psychiatric Services Office Administrator assists the Psychiatric Services team. This role is an essential part of the team due to constant client interaction.

This Administrator answers the Psychiatric Services department telephone and responds to emailed requests for services, enters clients’ demographic information and creates/maintains client accounts in the EHR. Also, the role is responsible for scheduling clients, quoting fees to clients, creating Patient Portal accounts, and sharing key information for any telehealth appointments. Every day is different, which makes the role perfect for someone who interacts well with others. Further responsibilities include:

  • Coordinating completion of intake paperwork prior to first appointments for new clients
  • Ensuring files are updated and accurate within the Electronic Health Record system
  • Verifying mental health insurance benefits for clients prior to initial and ongoing appointments
  • Explaining insurance benefits to clients
  • Reviewing monthly client billing statements for accuracy and contacting clients to collect on balances
  • Works with all referral sources to maintain good customer service and retention of referral relationships
  • Maintains and updates any necessary information needed by insurance panels
  • Completes safety reporting requirements in a timely manner
  • Evaluates psychiatric services provided to determine appropriate CPT coding to maximize billing efficiency and accuracy.
  • Maintain and protect confidentiality and security of all organizational information gained in the course of performing job responsibilities, including but not limited to, financial and client information.
  • Ensures clients feel welcome and secure.
  • Maintains compliance with HIPAA privacy and security standards
  • Serves as a safety team member, participating in quarterly team meetings, completing monthly safety reporting, evaluating the environment of care for possible safety concerns, ensuring infection prevention and control practices are followed, providing education and training to colleagues on safety policies and procedures, and additional safety related projects and assignments.
  • Additional duties, as assigned.

We are looking for you to have at least a High School Diploma and would prefer some college education. The highest priority will be given to candidates that have a degree in behavioral health or related field and have medical billing and coding certification or training. Coursework or training in mental illness and/or behavioral health would be awesome as well.

It will be essential that you possess strong customer service skills since this role requires extensive phone work. You will also need a knowledge of insurance benefits along with strong communication and computer skills. You will need to have some experience navigating and using an electronic health record (EHR) and be proficient in Microsoft Office Suite (Outlook, Excel, and Word).

  • Ability to maintain strict client confidentiality.
  • Knowledge of medical terminology and CPT coding.
  • Accurate measurement and documentation of vital signs.

This role serves as a representative of Provident, so displaying courtesy, tact, consideration and discretion will be vital in all interactions. The work hours are Monday through Friday and align with Psychiatric Services and Counseling department hours, when clients are seen (between 8:00 AM and 9:00 PM).
