REPORTING RELATIONSHIPS/SUPERVISORY RESPONSIBILITIES

This position reports to the Supervisor/Team Lead of Retail Sales and has no direct reports. It interacts with employees of all levels of the organization, brokers, and clients.

POSITION SUMMARY

This position is responsible for the day-to-day administrative/clerical and sales support for the sales team.

Responsibilities include assisting the Sales and Account Management team in selling and retaining clients for the Health Plan. Work with brokers and group clients to assist with the onboarding and renewing groups. This position will complete the administrative tasks and interact with departments within the Health Plan to ensure the system's groups are set up correctly. This position is also responsible for the creation of all documents (contracts, sell sheets, a summary of benefits, fact sheets, etc.). The position serves as an internal support to answer client and broker questions and help to write new business. The position is also responsible for sales reporting on confirmed sales and prospects for the Health Plan Management Team.

ACCOUNTABILITIES

*All duties listed below are essential unless noted otherwise*

1. Provide day-to-day sales support to the Health Plan Sales Team.

  • Assist sales managers with onboarding prospects and new clients.
  • Assist the Account Management Team with retention activities, including assisting with client service needs.
  • Assist with forms and paperwork.
  • Phone coverage for the sales team that is out of the office.

2. Onboarding of new employer groups and setting up renewal documents

  • Creation of Paramount Fact sheets for new clients and new benefit plan configuration.
  • Work with the Membership department in the new client setup configuration process.
  • Maintain and create SOBs and group contracts.
  • Prepare new hire packets, renewal packages, and other marketing materials as necessary.

3. Document Management

  • Complete lifecycle management of Employer Group policies, contracts, alterations, changes, addendums, terminations, and cancellations.
  • Serve as official company document custodian

4. Contract and System Maintenance

  • Process, validate, and record contract policy terminations and cancellations
  • Alter system records in support of contract changes, including all plan features, group points of contact, etc.

5. Miscellaneous

  • Assist with mailings to clients, brokers, members, and vendors as needed.
  • All other assigned duties per direction of management in support of company operations, sales/growth, IT, and regulatory compliance

6. Additional duties as assigned.Job Requirements:


REQUIRED QUALIFICATIONS

Education: Associate degree in Business Administration or at least three years of equivalent experience.

Skills:

  • Knowledge of business intelligence, reporting tools, and spreadsheet applications.
  • Proficient in using Microsoft Office programs, particularly Excel, Word, and PowerPoint.
  • Excellent verbal and written communication skills sufficient to interact with all levels of employees.
  • Effective listening, critical thinking, negotiation, presentation, and independent problem-solving skills.
  • Ability to lead, plan, coordinate, and organize multiple priorities with minimal supervision.
  • Must be adaptable to change, display qualities of initiative, and be able to work independently.
  • Must generate quality work products under tight deadlines in a dynamic, fast-paced

environment.

  • Must exhibit strong analytical and problem-solving skills with strong attention to detail.
  • Demonstrate creativity and be able to suggest innovative solutions to business challenges.
  • Proven ability to manage multiple tasks/projects while paying strict attention to detail and operational excellence

Years of Experience: A minimum of one year of administrative support.

License: Ohio Health and Life Insurance License, or willing to obtain within six months of hire.

Education: Bachelor’s Degree in Business, Sales, or a related field

Skills:

  • Solid experience with CRM software/SalesForce
  • Health Plan experience.
